Job Summary

We are seeking a dynamic and highly organized Office Assistant to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the office runs smoothly and efficiently. Your energetic approach and attention to detail will support administrative functions, enhance client communication, and maintain a welcoming front desk environment. This paid position offers an exciting opportunity to develop your office management skills while contributing to a vibrant workplace.

Duties

Manage front desk responsibilities, greeting visitors and clients with professionalism and warmth
Handle multi-line phone systems, directing calls accurately and courteously using proper phone etiquette
Perform data entry tasks with precision using spreadsheets, Microsoft Office, Google Workspace, and other productivity software
Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents
Assist with bookkeeping activities including invoicing, billing, and basic financial record keeping using QuickBooks or similar software
Support calendar management for staff and executives, scheduling appointments and coordinating meetings efficiently
Provide exceptional customer service by responding promptly to inquiries via phone or email and supporting client communication efforts

Experience

Proven office experience with a strong background in administrative support and clerical tasks
Familiarity with office management practices including filing, data entry, and document proofreading
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
Experience working with multi-line phone systems and providing excellent phone communication skills
Bilingual abilities are highly desirable to assist diverse clients and team members effectively
Demonstrated organizational skills with the ability to prioritize tasks and manage time effectively
Previous experience as a dental or medical receptionist, personal assistant, or in customer support roles is a plus
