Part-Time Bookkeeper / Administrative Coordinator

Reports To: Owner
Employment Type: Part-Time (20–30 hours per week, flexible based on workload)

Position Summary

A Design Studio is seeking an organized, detail-oriented Part-Time Bookkeeper / Administrative Coordinator with experience in construction or project-based billing. This position is responsible for managing day-to-day bookkeeping, construction billing, accounts receivable and payable, and general administrative functions that help keep projects and the office running efficiently.

The ideal candidate enjoys working in a fast-paced environment, is comfortable juggling multiple priorities, and takes ownership of their work with minimal supervision.

Bookkeeping & Accounting

Maintain company books using QuickBooks (Online)
Process Accounts Payable and Accounts Receivable
Prepare and send customer invoices
Track customer payments and follow up on past-due accounts
Reconcile bank accounts and credit card statements
Process vendor payments
Maintain organized financial records
Assist with month-end and year-end closing
Coordinate with CPA for tax preparation and financial reporting
Prepare financial reports as requested

Construction Billing

Prepare progress billings and milestone invoices
Manage AIA billing (preferred)
Track retainage
Process change orders and billing adjustments
Monitor contract values versus billed amounts
Maintain lien releases and waivers as required
Track project budgets and billing status
Coordinate billing with project managers
Ensure invoices meet customer contract requirements
Assist with Certified Payroll documentation if required

Administrative Responsibilities

Answer phones and greet visitors
Maintain office filing systems (digital and paper)
Assist with scheduling appointments and meetings
Organize project documentation
Maintain insurance certificates
Track business licenses and contractor licensing renewals
Order office supplies
Assist with customer correspondence
Support project managers with administrative tasks
Prepare reports and spreadsheets

Preferred Qualifications

3+ years bookkeeping experience
Construction accounting experience strongly preferred
Knowledge of progress billing and construction contracts
Experience with QuickBooks
Microsoft Office (Excel, Outlook, Word)
Excellent organizational skills
Strong written and verbal communication
High attention to detail
Ability to prioritize multiple projects
Self-motivated and dependable
