Job Summary

We are seeking a dynamic and organized Human Resources Coordinator/Office Manager to join our team. This pivotal role combines HR responsibilities with office management duties, ensuring smooth daily operations, fostering a positive workplace environment, and supporting administrative functions. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to manage a variety of tasks efficiently. This position offers an exciting opportunity to contribute to organizational success while maintaining a vibrant and productive office atmosphere.

Responsibilities

Oversee daily office operations, including front desk management, multi-line phone systems, calendar scheduling, and filing systems to ensure seamless workflow.
Coordinate human resources activities such as onboarding new employees, managing employee records, handling confidential information, and supporting training and development initiatives.
Manage payroll processing using accounting and financial software like Rippling or similar platforms, ensuring accuracy and timeliness.
Supervise administrative staff and support team management efforts through effective delegation and oversight of clerical tasks.
Plan and execute company events, meetings, and team-building activities to promote engagement and morale.
Handle budgeting, bookkeeping, and basic accounting tasks to support financial accuracy and reporting.
Ensure compliance with organizational policies and procedures while maintaining high standards of customer service for internal teams and external clients.

Skills

Proven experience in office management, human resources, or administrative roles with strong organizational skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) along with spreadsheets for data analysis and reporting.
Familiarity with accounting software such as QuickBooks or equivalent financial tools; experience with bookkeeping and payroll processing is highly desirable.
Excellent communication skills—both verbal and written—with the ability to handle client interactions professionally.
Strong supervisory skills with experience managing teams or supervising staff members effectively.
Ability to manage multiple priorities through schedule management and time organization.
Experience in event planning, vendor management, and handling confidential information discreetly.
Technical proficiency in using office equipment like multi-line phones, fax machines, printers, and other office technology.
Knowledge of medical office management or healthcare-related administrative functions is a plus but not required.
