Overview

We are seeking a dynamic and detail-oriented General Office Clerk to join our administrative team. This vital role offers an exciting opportunity to support daily office operations, ensure smooth communication, and maintain an organized work environment. The ideal candidate will bring strong organizational skills, excellent communication abilities, and proficiency with office technology to help us deliver exceptional service and efficiency. This paid position is perfect for someone eager to grow their administrative experience while contributing positively to our team.

Duties

Exceptional proficiency in computer skills and mastery of office software applications.
Provide expert-level clerical and administrative support, ensuring the seamless operation of the office and contributing to overall productivity.
Manage incoming and outgoing mail, packages, and deliveries with precision, ensuring accurate and timely distribution to designated recipients.
Perform data entry tasks, including updating records, spreadsheets, and databases, maintaining accurate and up-to-date documentation.
Take responsibility for office organization, including filing, photocopying, scanning, and maintaining orderly workspaces.
Extend a warm and professional welcome to visitors and guests, creating a positive first impression and fostering a welcoming atmosphere.
Independently answer and direct incoming calls to the appropriate individuals or departments, providing assistance and information as needed.
Coordinate appointments, meetings, and events, demonstrating advanced time management skills to support staff and optimize visitor experiences
Travel Management: Air and ground transportation and complex logistics, hotel accommodations, and corporate meeting agendas. This requires detailed knowledge of meeting and accommodation locations and travel times as well as the management team’s preferences and expectations.
Meeting Management: Coordinate management team meetings, including communications, material development, meeting planning, reserving meeting space, and post-meeting follow up review. Pick up/ prepare lunch and/or plan luncheons.
Oversee all administrative tasks, such as ordering office supplies, managing inventory levels, and ensuring operational needs are met in a seamless manner.
Assist with accounts payable and accounts receivable processing, preparing bank deposits and reconcile accounts
Process invoices, expense reports, and vendor payment
Proven clerical experience in an office setting with familiarity in office management tasks.
Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and QuickBooks.
Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
Experience with data entry, proofreading, filing systems, and handling confidential information securely.
Demonstrated customer service skills with professional phone communication and etiquette.

Personal assistant or office support experience is beneficial for calendar management and administrative assistances

Preferences:

BA/BS Preferred
HS Diploma Required
Minimum of 3 to 5 years relevant professional experience is required
Ability to set priorities and multitask in a challenging environment
Advanced skills in Microsoft Word, Excel, Outlook, and PowerPoint are a must
Ability to present information effectively and respond to questions from managers, clients, customers, and the public
