Full Job Description

Position Overview
Greater Midwest Exteriors is looking for an organized, proactive, and detail-oriented Production Coordinator to join our Operations team.

This role is responsible for ensuring every project is production-ready by reviewing contracts, coordinating permits and inspections, maintaining accurate job files, and supporting projects from contract signing through completion.

This is not a position where you'll complete the same task all day. Every project is different, every municipality has different requirements, and priorities can change quickly. We're looking for someone who enjoys solving problems, staying organized, and taking ownership of their work in a fast-paced environment.

What You'll Do

New Contract Review & Project Setup
Review every new contract package for accuracy and completeness.
Verify all documents are uploaded and categorized correctly.
Confirm homeowner contracts are fully executed and signed.
Review measurement reports and specification sheets for completeness.
Verify required reports and project photos are uploaded.
Complete required project information within our CRM, including:

Permit Requirements
Required Inspections
Internal Production Notes
Ensure all project information is complete before releasing jobs into production.
Communicate with the Sales Team to obtain missing documentation before projects move forward.
Permit Coordination
Prepare and submit permit applications.
Upload permit applications into project files.
Monitor permit status and proactively follow up with municipalities.
Upload approved permits and receipts.
Record permit expiration dates.
Maintain contractor registrations with municipalities, including licenses, insurance certificates, and required documentation.
Ensure Greater Midwest Exteriors remains compliant with all contractor registration requirements.
Inspection Coordination
Schedule required municipal inspections.
Coordinate inspection timing with production schedules.
Notify homeowners when municipal inspections are scheduled.
Communicate inspection requirements with Project Managers and installers.
Upload inspection documentation into project files.
Track inspection approvals and identify any follow-up items.
Project Administration
Maintain organized and accurate digital project files.
Monitor project progress through each administrative milestone.
Ensure no project stalls because of missing paperwork, permits, or inspections.
Maintain permit and inspection tracking logs.
Identify potential delays before they impact scheduling.
Assist with improving internal processes and documentation.
Maintain data accuracy within our CRM.
Serve as the primary administrative contact for municipalities regarding permits and inspections.

Qualifications

Required

Strong organizational and time management skills.
Excellent written and verbal communication.
Exceptional attention to detail.
Ability to multitask and manage numerous projects simultaneously.
Comfortable using computers and learning new software.

Preferred

Experience with Microsoft Office and Google Workspace.
Administrative or Operations Coordinator experience.
Construction, roofing, remodeling, or home improvement experience.
Experience working with permits or municipalities.
Experience using CRM or project management software.
