Accounts Payable Clerk

Position Summary

We are seeking a detail-oriented and organized Accounts Payable Clerk to join our accounting team. The Accounts Payable Clerk is responsible for processing vendor invoices, maintaining accurate financial records, ensuring timely payments, and supporting the overall accounts payable function. The ideal candidate will have strong attention to detail, excellent organizational skills, and the ability to work effectively in a fast-paced environment.

Key Responsibilities:

Review, verify, and process vendor invoices for accuracy and proper approval.

Match invoices to purchase orders and receiving documentation.

Code invoices to appropriate general ledger accounts.

Prepare and process check runs, ACH payments, and wire transfers.

Monitor payment due dates and ensure timely payment of obligations.

Reconcile vendor statements and resolve discrepancies.

Respond to vendor inquiries regarding payment status and account balances.

Communicate with vendors and internal employees to verify invoice details, obtain approvals, resolve discrepancies, and request missing documentation or information needed for timely invoice processing and payment.

Maintain accurate and organized accounts payable records and documentation.

Assist with month-end and year-end closing activities.

Support audits by providing requested documentation and account information.

Maintain vendor files and update vendor information as needed.

Ensure compliance with company policies, procedures, and internal controls.

Collaborate with purchasing and other departments to resolve invoice and payment issues.

Perform other accounting and administrative duties as assigned.

Qualifications:

Required:

High school diploma or equivalent.

1-3 years of accounts payable, bookkeeping, or accounting experience.

Proficiency in Microsoft Excel and Microsoft Office Suite.

Strong data entry and organizational skills.

Excellent attention to detail and accuracy.

Effective verbal and written communication skills.

Ability to prioritize tasks and meet deadlines.

Experience with IntelliDealer (CDK Global) dealership management software strongly preferred.

Preferred:

Associate degree in Accounting, Finance, or related field.

Knowledge of accounts payable best practices and accounting principles.

Knowledge, Skills, and Abilities:

Strong analytical and problem-solving skills.

Ability to maintain confidentiality of financial information.

Ability to work independently and as part of a team.

Strong customer service and vendor relationship management skills.

Proficiency in handling high-volume invoice processing environments.

Physical Requirements

Prolonged periods of sitting and working on a computer.

Ability to occasionally lift up to 15 pounds.
