Job Summary
We are seeking a dynamic and highly organized Office Manager - Accounting/Production Manager to oversee all daily business operations, manage accounting functions, and coordinate production activities. This role offers an exciting opportunity for a proactive individual with strong administrative, financial, and team management skills to contribute to our continued success and growth. Reports directly to Owner.

Duties

Manage and oversee all office operations, including 'back office' responsibilities and working with our Remote Salespeople and our Remote Staff Artists across the southeast and nation. Ensure timely and smooth flow of documentation, shipping portraits To: From Remote Staff Artist(s) and adherence to timely flow of portraits is key to production.
Supervise Artists' Liaison and Production Staff in our Office, provide training, development, and ongoing support to foster a productive work environment.
Handle accounting tasks such as bookkeeping, payroll processing, budgeting, and financial software management (e.g., QuickBooks).
Coordinate vendor management activities, including sourcing supplies, negotiating contracts, and maintaining positive vendor relationships.
Oversee scheduling management for production timelines and cash flows to optimize workflow efficiency.
Maintain meticulous filing systems and ensure compliance with all administrative policies and procedures.
Support human resources functions such as employee records management, onboarding, and training initiatives.

Skills

5+ years minimum experience in office management is required, and a production focused environment is a major plus. Must have strong organizational skills and attention to detail.
Extensive accounting and finance experience, including bookkeeping, budgeting, payroll processing, and familiarity with our financial software QuickBooks, EXCEL and learning how to navigate within our 28+ year client history database, Microsoft Access.
Prior supervisory experience with the ability to lead and motivate teams effectively.
Excellent communication skills with professional phone etiquette and the ability to handle front desk operations and Social Media with clients confidently.
Skilled in event planning, vendor management, calendar management, and scheduling coordination.
Knowledge of human resources practices including employee onboarding, training & development.
Proficiency in clerical tasks such as filing, data entry, and managing multi-line phone systems and customer contact via our client database and email, and Social Media including Instagram and Facebook and others.
5 years minimum experience in office management is required, and a production focused environment is a major plus.
