Records Retention Clerk/Administrative Assistant – Law Firm
Reports To: Firm Administrator
Compensation: $22 - $25 per hour, depending on experience
Position Type: Full-Time, 8:00 am – 4:30 pm Monday - Friday

legal representation to clients in the Twin Cities and surrounding suburbs since 1981. We
provide legal counsel across diverse practice areas, including business and nonprofit law, estate planning, family law, litigation, and real estate, maintaining a commitment to professional excellence and personal service.

Position Overview

The primary responsibility of this role is to review closed legal case files to determine eligibility for physical destruction. Additionally, this position provides vital office support by assisting with reception backup, managing breakroom supplies, and handling outgoing mail.

Key Responsibilities

Review physical closed files against retention schedules and coordinate secure shredding.
Cross-reference physical paper files with digital records stored in the firm’s document management system.
Identify documents that must be scanned and still preserved physically.
Greet guests/clients and answer phones when the primary receptionist is away.
Monitor, stock, and tidy the breakroom, coffee, and kitchen supplies.
Post outgoing US Mail. Prepare and schedule pick up for packages sent via UPS/FedEx and third-party couriers.
Other administrative duties as assigned.

Qualifications & Skills

Software Proficiency: Hands-on experience navigating Microsoft 365 applications and document management systems.
Customer Service: Welcoming phone skills and strong face-to-face communication skills for front-desk coverage.
Attention to Detail: Extreme focus needed to spot critical documents in large volumes of paperwork.
Confidentiality: Strict adherence to client confidentiality.
Physical Stamina: Ability to lift office boxes weighing up to 50 pounds and stand for extended periods.
Experience: Prior experience in a law firm or professional office setting is preferred.
