Full Job Description

Job Summary
We are a Processing company in the Medical Marijuana Industry. Candidate must be comfortable with working around Medical Marijuana. Candidate must have a good working knowledge of OMMA state tracking system known as METRC. The ideal candidate will possess strong administrative, communication, and organizational skills, with experience in office management, bookkeeping, and human resources. This role involves managing schedules, vendor relationships, and ensuring smooth workflow across various departments. The Office Administrator will play a vital role in maintaining an efficient, professional, and welcoming office environment.

Responsibilities

MUST HAVE KNOWLEDGE OF THE OKLAHOMA MEDICAL MARIJUANA STATE TRACKING SYSTEM, KNOWN AS METRC.
Oversee vendor management, including procurement and service contracts
Handle bookkeeping tasks using QuickBooks, including invoicing and expense tracking
Support human resources functions such as onboarding, training & development, and employee record keeping
Assist with payroll processing and ensure timely payments
Organize office supplies inventory and manage filing systems for easy retrieval of documents
Supervise front desk operations, including multi-line phone systems and visitor management
**Maintain office policies, procedures, and ensure compliance with organizational standards**
Provide clerical support including data entry, document preparation, and correspondence
Manage office budget tracking and assist with financial reporting as needed
Ensure effective communication across departments through email correspondence, phone etiquette, and internal memos

Skills

MUST HAVE KNOWLEDGE OF THE OKLAHOMA MEDICAL MARIJUANA STATE TRACKING SYSTEM, KNOWN AS METRC
Proven experience in office management or administrative roles with strong clerical background
Excellent communication skills—both verbal and written—with professional phone etiquette. Preferred bilingual in Spanish as a second language.
Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
Experience with QuickBooks or similar accounting software for bookkeeping and payroll tasks
Knowledge of human resources processes including onboarding, training & development, and employee records management
Supervising experience to oversee team members or administrative staff effectively
Proficiency in schedule management tools and calendar organization software
Vendor management skills to negotiate contracts and maintain supplier relationships
Ability to handle sensitive information discreetly while maintaining confidentiality
