About the Role:

This is a full-time, in-office position combining high-volume phone communication with administrative operations. Working in the central operational hub of our firm, you will interact directly with clients, dealers, and vendors. You will assist with order updates, process new orders, and collaborate across departments to keep daily operations running smoothly, while also serving as a critical communication bridge among executive leadership, management, and internal departments.

Phone interaction crucial for this position. Candidates must have proven, real-world experience handling multi-line phone systems and professional client calls.

What You'll Do

Primary Phone Support: Manage incoming calls on a multi-line system with professional etiquette, handle product inquiries, gather precise caller details, and assist clients with active order updates.
Internal Routing & Operational Escalation: Function as a key node in the company workflow by recognizing operational issues, identifying discrepancies, and communicating them directly to your team, supervisor, management, or specific departments following clear lines of operation.
Administrative Operations: Create and maintain customer accounts, process orders, apply payments, generate invoices and purchase orders, draft correspondence, manage calendars, update spreadsheets, perform data entry, and keep records accurate across platforms. You will also follow up on tasks and projects from start to finish.

What You'll Bring:

We need a proactive, articulate, and detail-oriented professional who thrives on the phone and excels under clear operational structures. They should also be able to balance phone support with administrative responsibilities in a fast-paced office environment. You must be comfortable taking ownership of phone calls from prospective clients, clients, vendors, and B2B calls, and knowing when and how to direct and/or escalate issues internally

Required Skills & Experience:

Crucial Requirement — Heavy Phone Experience: Minimum 1 to 2 years of direct experience operating multi-line office phone systems in a high-volume office, call center, or B2B environment.
A strong level of comfort with phone calls
Professional Phone Etiquette
Minimum 2 years of general customer service or support experience.
Strong Operational Communication: Exceptional verbal and written communication skills with the confidence to articulate complex details clearly to clients, colleagues, supervisors, and management.
Sound Judgment & Problem Escalation: Ability to spot errors or process bottlenecks and immediately contact the appropriate person in order to correct the issue.
Proactive Inquiry: Willingness and confidence to ask clarifying questions whenever necessary to ensure 100% accuracy.
Software Proficiency: Strong computer literacy, including intermediate skills in Microsoft Office (Outlook, Word, Excel).
Discretion: High level of professional integrity when handling confidential information.
Professional Standards: Excellent organizational skills, strong prioritization habits, and a reliable work ethic.

Position Details:

Job Type: Full-time
Work Location: In person. This is not a remote position.
Salary: Starting Hourly Rate: $20.00 per hour, with growth potential
