Full Job Description

Pelvic Health Physical Therapy of Morgantown is a concierge physical therapy practice specializing in pelvic health, pregnancy and postpartum rehabilitation, orthopedic care, and nervous system regulation. We pride ourselves on providing one-on-one, compassionate care while creating an exceptional patient experience from the very first phone call.

As our practice continues to grow, we are looking for a highly organized, dependable, and proactive individual to become an integral part of our team.

This is not a traditional front desk position. We are seeking someone who enjoys taking ownership, solving problems, creating organization, and helping a small business thrive. The right person will have the opportunity to grow into a leadership role as our practice continues to expand.

Position Summary

The Clinic Operations Coordinator serves as the first impression of our practice while helping ensure the clinic runs efficiently each day. This individual will work closely with the practice owner to coordinate daily operations, provide outstanding customer service, maintain clinic organization, and support the overall patient experience.

We are looking for someone who notices what needs to be done and takes initiative without waiting to be asked.

ResponsibilitiesPatient Experience

Welcome and check in patients with professionalism and warmth.
Answer incoming phone calls and respond to patient questions.
Schedule new evaluations and follow-up appointments.
Confirm appointments and manage schedule changes.
Follow up with prospective patients who inquire about services.
Help create an outstanding patient experience from the first phone call through discharge.

Clinic Operations

Prepare treatment rooms between patients.
Complete laundry and maintain treatment linens.
Maintain cleanliness and organization throughout the clinic.
Monitor clinic supplies and place supply orders.
Restock treatment rooms and common areas.
Assist with opening and closing procedures.

Administrative Responsibilities

Manage daily scheduling and assist with optimizing therapist schedules.
Scan, upload, and organize patient paperwork.
Assist with insurance authorizations and administrative documentation as needed.
Maintain organized electronic and paper files.
Assist with bookkeeping preparation and administrative projects.
Coordinate office calendars, meetings, and special events.

Business Support

Help implement systems that improve office efficiency.
Assist with workshops, educational events, and community outreach.
Support marketing projects and occasional social media coordination.
Assist with additional projects as the practice continues to grow.
Qualifications
Excellent communication and interpersonal skills.
Friendly, positive, and professional demeanor.
Strong organizational and multitasking abilities.
Detail-oriented with excellent follow-through.
Comfortable using computers and learning new software.
Ability to work independently while also collaborating with a team.
Previous administrative, healthcare, hospitality, or customer service experience preferred.

Pay: $20.00 - $24.00 per hour
