Administrative Assistant Job Summary

We are seeking a dependable, organized, and compassionate Administrative Assistant to join our assisted living team. This role is responsible for supporting the daily administrative operations of the community while providing exceptional customer service to residents, families, employees, and visitors. The ideal candidate is detail-oriented, enjoys working in a fast-paced healthcare environment, and is committed to maintaining compliance with state regulations and company policies.

Responsibilities

Greet residents, families, visitors, and vendors with professionalism and exceptional customer service.
Answer and direct incoming telephone calls in a courteous and efficient manner.
Respond to resident and family inquiries and assist in resolving concerns alongside the management team.
Assist with recruiting activities, including posting open positions, scheduling interviews, onboarding, and new hire orientation.
Maintain employee personnel files, certification records, W-9s, and other required documentation.
Ensure all required employee training is completed and accurately tracked before hire and throughout employment.
Process invoices and coordinate with the corporate finance department for timely payment.
Assist with scheduling employees and maintaining accurate staffing records.
Complete daily staffing reports and attendance tracking.
Maintain facility logs, including temperature logs, inspection records, and compliance documentation.
Coordinate building maintenance and communicate with outside vendors for repairs, landscaping, carpet cleaning, and other facility needs.
Maintain fire safety, inspection, and emergency drill documentation according to state regulations.
Assist with quarterly employee chart audits and other compliance audits.
Maintain resident and employee birthday calendars and other administrative records.
Conduct tours for prospective residents and families.
Support management with employee meetings, disciplinary documentation, and regulatory compliance.
Assist with maintaining the cleanliness and appearance of the community by coordinating staff assignments and follow-up.
Provide administrative support to the Administrator and management team as needed.
Participate in an on-call rotation and assist with operational needs when necessary.
Perform other duties as assigned to support the overall success of the community.
Able to work Monday-Friday 8am-4pm.

Qualifications

High school diploma or GED required; Associate degree preferred.
Previous administrative experience, preferably in healthcare, assisted living, long-term care, or senior living.
Excellent organizational, communication, and customer service skills.
Strong computer skills, including Microsoft Office and the ability to learn scheduling and electronic medical record systems.
Experience with scheduling software and payroll systems is preferred.
Ability to prioritize multiple tasks while maintaining attention to detail.
Knowledge of state and federal healthcare regulations is preferred.
Ability to maintain confidentiality and professionalism.
Must be dependable, flexible, and work effectively as part of a team.

Pay: From $16.00 per hour
