Assistant Manager/Administrative Assistant, La Comida Downtown Site

La Comida de California Overview

La Comida de California is a nonprofit organization that has supported the nutritional and social needs of seniors in Palo Alto for 54 years. The mission of La Comida is to promote the health and well-being of older adults by providing nutritionally balanced, delicious, fresh, high-quality, low-cost meals; linking participants to other agencies serving seniors and their families by offering resources; and providing a setting that encourages socializing to address isolation and mental health issues. We serve healthy, delicious, freshly cooked lunches to local seniors each weekday at two locations in Palo Alto.

La Comida, Assistant Program Manager

La Comida is seeking a full-time Assistant Program Manager, starting immediately, who is passionate about serving the nutritional and social needs of seniors in our community. The APM will have supervisory and detailed administrative responsibilities.

Job Description/Roles and Responsibilities

La Comida de California is a senior nutrition communal lunch program that provides hot, nutritious meals to persons 60 years of age and older, every weekday. In addition to lunch, La Comida enriches the lives of seniors by providing a socially stimulating, cheerful environment, addressing issues of isolation and mental health issues.

Qualifications

· Experience in office administration, QuickBooks, Microsoft 365

· Experience in non-profit administration with preference in the food industry, working with volunteers and/or working with seniors

· Leadership and community engagement skills

· Budget management skills

· Leadership abilities working with staff, senior members of the community and volunteers

· Ability to work independently and collaboratively

· Experience working with and recruiting volunteers

· Demonstrated ability to multitask and be flexible

Job Schedule & Employment :

Detailed Work Schedule

Monday–Friday, 9:30 AM–1:00 PM: In-person attendance is required every day. This consistent in-person morning schedule is an essential expectation of the position.
After 1:30 PM: Following the initial onboarding period, the position transitions to a hybrid schedule.
Remote Work: After approximately 2–3 weeks of onboarding, afternoons are flexible, and you may generally continue your workday remotely 2–3 days per week, depending on organizational needs.
In-Person Flexibility: Certain projects, meetings, or organizational needs may require additional in-person time and face-to-face collaboration.

Onboarding

The first 2–3 weeks will focus on onboarding, training, and becoming familiar with the role and organization.
During this period, the expectation is to be in person Monday–Friday, including the required 9:30 AM–1:00 PM morning schedule.

Temporary-to-Permanent Opportunity

The position is initially temporary.
The expectation and hope is for the role to transition to a permanent position after November 30, assuming the position is a good fit for both the candidate and the organization.

Key Expectation

The Monday–Friday, 9:30 AM–1:00 PM in-person schedule is a consistent requirement, while the afternoon schedule offers flexibility through the hybrid work arrangement.

· Bilingual in Chinese, Mandarin and/or Spanish a plus

· Based in Palo Alto or surrounding area

· Availability to begin work asap and work as temp-to-hire for three months (until the end of November 2026) with the possibility of full-time hire.

Position Summary:
The Assistant Program Manager/Downtown Site Manager will be responsible for managing and coordinating lunch meal service, including recruitment and management of volunteers, collection and processing of data from diners, and reports to the City of Palo Alto and Santa Clara County. In addition, the Program Manager will organize daily communal activities, create a welcoming atmosphere at the Downtown location (429 Bryant Street), and report to La Comida headquarters at 455 East Charleston Road after service each day to complete administrative responsibilities. The Assistant Program Manager (APM) reports to the Executive Director.

Responsibilities include, but are not limited to:

Report to Stevenson House every morning of service with the Program Director and the Head Chef.
Transport food donations to the Downtown location for distribution.
Report every afternoon, after the Downtown lunch service, to Stevenson House to meet with the Program Director and complete administrative activities.
Set up and break down the meal service site at the Downtown site as necessary.
Coordinate all facility logistics with the City of Palo Alto Bryant Street Community Center contacts for 429 Bryant Street.
Coordinate with kitchen staff to ensure a sufficient number of meals are ordered and delivered to the DT site.
Coordinate with the Program Director and the Head Chef to distribute food donations at the downtown site.
Train and supervise volunteers daily at the service site to ensure food safety and health safety protocols are followed.
Complete daily reports, monthly and quarterly reports for the City of Palo Alto and County guidelines, working in coordination with the Program Director.
Support the creation of newsletters with information on essential program dates and events, volunteers, diners, community events, and food and nutrition for older adults/seniors.
The Assistant Program Manager will conduct outreach to provide entertainment and resources for seniors before, during, and/or after meals to foster a communal atmosphere and manage activities that support the overall La Comida program.
Responsible for any insurance claims at the DT site.
Maintain the DT site budget in coordination with the Program Director.
Create and facilitate at least two Volunteer Appreciation Events per year for DT volunteers and combined Volunteer Appreciation Event with volunteers from Stevenson House.
Maintain storage of all supplies for the DT site.
Create and maintain all volunteer name tags.
Supervise all garbage and disposal necessary for DT site.
Recruit, train, supervise and record all Volunteer hours
Calendar annual events for DT site.

Essential Duties and Functions:

During the hours of 10:00 am – 1:15 pm, APM operates on-site at the DT location, handling logistics for receiving prepackaged meals, staging for entertainment, table setup, and clean-up. APM records food temperatures, oversees meal distribution, distribution of donated foods and program participant registration, and coordinates volunteers to ensure successful meal service.
Prepares a daily/weekly/monthly Excel report to support overall La Comida reports that are sent monthly and quarterly to the County's registered dietitian.
Familiarity with the La Comida FY Budget and help prepare reports for HSRAP and other fundraising grants
Support narrative requests for grant applications as requested by the Executive Director.
Train all volunteers and post their job descriptions.
On-the-job training of the Senior Nutrition Program County and La Comida policy and procedures, registration procedures, and record keeping of contributions and donations.
Support the creation of the newsletters that include program special events, nutrition education, highlights of volunteers and diners, and local community events that speak to the La Comida community.
The use of a personal vehicle is necessary to transport oneself and supplies between the La Comida office at Stevenson House and the DT service site. Gas reimbursement is offered.
Works with the Board Volunteer Director to support volunteer recruitment and retention for the DT site.
Together with the Program Director and Head Chef, prepare a Production Menu and support weekly food planning and ordering.
Provide support to site volunteers.
Manage calendars and coordinate events
Maintain files and documentation on the La Comida Google Drive in an organized manner
Handle phone calls with professionalism and efficiency
Assist with financial tasks using QuickBooks as needed in coordination with the Bookkeeper.
Meet weekly with the Program Director and the Executive Director to report specifically on the DT site.
