Full Job Description

BlueSun has an excellent opportunity for an Office Specialist in Portland with the DEQ

Wage $22.52

Position Summary: The Temporary HR Assistant supports the Human Resources team by preparing, scanning, and organizing personnel records as part of the HR File Room Scanning Project. This work ensures DEQ remains in compliance with HR State Policy and the Secretary of State’s records retention schedule while allowing employees easier access to their records in Workday. Additionally, the Temporary HR Assistant will aid in gathering payroll personnel.

Key Responsibilities:

1. Prepare Personnel Documents for Scanning

· File loose documents into the alphabetical accordion located on top of the filing cabinet, ensuring only documents for the letter currently being filed on are filed.

· Properly document files for employees without a personnel file.

· Retrieve personnel file folders and carefully remove all documents.

2. Document Handling & Organization

· Neatly stack documents, removing all staples, paperclips, and other fasteners before scanning.

· Maintain document order and ensure files remain organized throughout the scanning process.

3. Operate Scanner Equipment

· Transport documents to the scanner.

· Scan documents to designated HR file.

4. Reassemble and Store Personnel Files

· Return scanned documents back into each personnel file folder.

· Place the complete folder back into the correct cabinet location.

5. Update Project Log

· Accurately record progress in the HR Scanning Project.

6. File Room Access & Safety

· Coordinate with HR staff to unlock the file room as needed.

· Ensure security of confidential files.

Minimum Qualifications:

· Ability to handle confidential personnel information with discretion.

· Strong attention to detail and accuracy.

· Comfort with repetitive tasks and handling large volumes of documents.

· Ability to follow written instructions and maintain organized workflows.

· Basic experience using copier/scanner equipment or willingness to learn.

Preferred Qualifications:

· Experience working with HR records or document management.

· Familiarity with scanning, imaging, or digital filing systems.

Ideally the person would need to have two years of general clerical experience that includes keyboarding, word processing, or other experience generating documents; OR

An associate degree in any field; OR

An equivalent combination of education and experience

Physical Requirements:

· Ability to lift and carry file folders and stacks of documents.

· Frequent walking between file room and copy/break room.

· Ability to stand or sit while preparing and organizing documents.

Work Schedule: Monday through Friday, in-person, up to 40 hours/week. The temporary appointment may last for up to six (6) months, dependent on project completion.
