Full Job Description

Position Overview

Aesthetics Collective MedSpa is seeking a highly organized, proactive, and dependable Full-Time Executive Assistant to the Owner. This is a dynamic position for someone who thrives in a fast-paced environment, takes initiative, and enjoys a role that combines executive support, business operations, and client interaction.

You’ll work closely with the Owner to help manage daily priorities, coordinate projects, improve organization and efficiency, and support the continued growth of the business. Because we are a growing small business, flexibility and a team-first mindset are essential. This position will also provide Front Desk Coordinator support as needed.

The ideal candidate is professional, resourceful, detail-oriented, and naturally stays two steps ahead.

Key Responsibilities

Provide direct administrative and operational support to the Owner.
Assist with calendar management, scheduling, meetings, emails, and follow-ups.
Help manage priorities, deadlines, ongoing projects, and daily business needs.
Coordinate special projects, events, promotions, and staff initiatives.
Prepare documents, spreadsheets, reports, and other business materials.
Communicate professionally with employees, clients, vendors, and business partners.
Handle confidential and sensitive information with discretion.
Assist with purchasing, inventory, errands, and other business-related tasks as needed.
Identify opportunities to improve organization, systems, and overall efficiency.
Provide Front Desk Coordinator coverage as needed, including answering phones, scheduling appointments, checking clients in and out, processing payments, and delivering an exceptional client experience.
Perform additional administrative and operational duties as needed.

Schedule & Availability

This is a full-time, in-person position in Murfreesboro, TN.

Candidates must have schedule flexibility based on the needs of the business and Owner. Some late evenings and Saturdays are required.

Qualifications

Previous experience in executive assistance, administrative support, office management, hospitality, medical aesthetics, healthcare, or a similar professional environment is preferred.
Exceptional organizational and time-management skills.
Strong written and verbal communication skills.
Excellent attention to detail and follow-through.
Ability to manage multiple priorities and projects simultaneously.
High level of professionalism, discretion, and confidentiality.
Comfortable working independently, taking initiative, and solving problems.
Proficiency with email, calendars, spreadsheets, and general office technology.
Strong customer service skills and confidence interacting with clients.
Dependable, adaptable, and willing to assist in different areas of the business when needed.
