We are seeking a dynamic and personable Front Desk Associate to be the welcoming face of our organization. In this vital role, you will manage front office operations, provide exceptional customer service, and ensure smooth administrative workflows. Duties

Greet clients, visitors, and staff with enthusiasm and professionalism, creating a welcoming environment.
Manage multi-line phone systems, directing calls efficiently and providing accurate information.
Handle appointment scheduling, calendar management, and coordinate meetings using productivity software.
Perform data entry tasks with precision using spreadsheets, Word processing, and other Microsoft Office tools.
Maintain organized filing systems, process incoming correspondence, and support administrative tasks such as proofreading and document preparation.
Assist with office management duties including supply inventory, basic bookkeeping with QuickBooks, and supporting overall office operations.
Provide customer support by addressing inquiries promptly via phone or email while maintaining excellent phone etiquette.

Requirements

Proven experience in office management or administrative support roles with strong clerical skills.
Exceptional computer literacy including proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, spreadsheets, and productivity software.
Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
Excellent communication skills—bilingual abilities are a plus—and a friendly demeanor for client interaction.
Experience with multi-line phone systems, data entry, filing, and general office procedures.
Knowledge of QuickBooks or bookkeeping experience is preferred but not required.
Demonstrated ability to manage time efficiently while maintaining attention to detail in proofreading and documentation tasks.
