Lead Wedding Coordinator
Location: Inland Empire, Los Angeles, Orange County & Palm Springs
Job Type: Part-Time / Commission
Experience: Wedding Coordination or Event Experience Required
Schedule: Primarily weekends, with flexible availability required
Opportunity: Potential for Full-Time Growth
About Us
We are a fast-growing wedding planning and coordination company founded and run by a mom who genuinely loves what she does.
Our goal is simple: create an incredible experience for our couples while making their wedding day feel completely seamless.
We believe the best coordinators do more than manage a timeline. They create calm in the middle of chaos. They know when a bride needs reassurance, when a vendor needs direction, when a family member needs a little extra care, and when something needs to be handled before anyone even realizes there is a problem.
We are a close-knit team, and we want our company to feel like family. We care deeply about our clients, our vendors, and the people we work alongside.
We are looking for someone who wants to grow with us.
The Role
We are looking for a Lead Wedding Coordinator who is confident taking ownership of a wedding day from start to finish.
You will be the face of our company on wedding days and will be trusted to manage the moving pieces, communicate with vendors, oversee the timeline, and ensure our couples and their families feel taken care of.
This role is perfect for someone who can read a room, pick up on people's energy, anticipate needs, remain calm under pressure, and lead with both confidence and kindness.
You don't have to know everything on day one. You do need to be willing to learn, take direction, problem-solve, and grow.
Key Responsibilities
- Serve as the lead point of contact for vendors on the wedding day
- Manage and execute the provided wedding-day timeline
- Communicate with vendors, venue staff, wedding party, and family members
- Ensure vendors arrive, set up, and operate according to the agreed-upon timeline
- Oversee ceremony and reception logistics
- Coordinate decor setup and takedown
- Ensure the venue is set according to the couple's vision and provided instructions
- Anticipate potential issues and solve problems before they become noticeable to the couple
- Keep the wedding day moving while maintaining a calm and positive environment
- Comfort and reassure couples and family members when needed
- Know when to step in, when to delegate, and when to simply be present
- Make adjustments when the timeline or circumstances change
- Help ensure the couple feels cared for and enjoys their day rather than worrying about logistics
- Capture occasional behind-the-scenes photo/video content throughout the day when appropriate
- Represent our company professionally and warmly at every event
You will be provided with all necessary wedding information, timelines, vendor details, and instructions beforehand. This is an event-day coordination position, so there is no significant administrative or planning workload required outside of preparation for your assigned events.
What We're Looking For
We're looking for someone who is:
- Emotionally intelligent and naturally aware of the people around them
- Able to read a room and pick up on people's moods and needs
- Naturally comforting, reassuring, and personable
- Confident enough to lead while still being kind and approachable
- Calm and solution-oriented when things don't go according to plan
- Proactive rather than waiting to be told what to do
- Extremely dependable and punctual
- Organized and detail-oriented
- Comfortable communicating with vendors and taking charge when necessary
- Flexible and willing to adapt throughout the day
- Comfortable working long wedding days, weekends, evenings, and varying schedules
- Willing to learn our systems and the way we operate
- Comfortable working in fast-paced environments
- Professional in appearance, communication, and behavior
- Passionate about creating an exceptional client experience
Most importantly...
We want someone who genuinely cares about people.
Wedding days can be emotional, stressful, exciting, and unpredictable. We need someone who can walk into a room and instinctively understand what is happening around them.
Someone who notices that the bride is overwhelmed before she says anything.
Someone who can confidently redirect a vendor while still maintaining a positive relationship.
Someone who can calm a nervous family member, solve a problem behind the scenes, and then walk back into the reception with a smile.
Someone who doesn't just ask, "What am I supposed to do?"
They think, "What needs to happen next?"
Experience
Previous wedding coordination, event planning, hospitality, venue, catering, or customer-service experience is strongly preferred.
However, we are also open to the right person who may not have years of wedding experience but demonstrates exceptional leadership, emotional intelligence, professionalism, initiative, and a genuine desire to learn.
What We Provide
- Training and mentorship
- All necessary wedding information and timelines before each event
- A supportive, family-oriented team environment
- Hands-on experience with weddings and events
- Opportunities to build your event-planning experience and portfolio
- Opportunities to work alongside an experienced wedding planner
- Potential for increased responsibility and consistent work as the company continues to grow
- Potential for this position to develop into a full-time role
Why Join Us?
