Full Job Description

Are you an organized, detail-oriented professional who thrives in a fast-paced environment? 3JM Exteriors, a family-owned roofing, siding, and windows company, is looking for a dedicated Office Administrator to provide exceptional customer service and administrative support.

This role is essential to ensuring smooth operations and seamless project execution, making you the key link between customers, the sales team, and production. If you have accounting or bookkeeping experience, that’s a plus—but not required!

Key Responsibilities Customer Service & Support

Act as the primary point of contact for customers, handling phone calls and inquiries with professionalism and care.
Address customer concerns promptly and proactively to build trust and ensure a positive experience.
Assist customers with scheduling appointments and providing initial information about our services.

Scheduling & Project Coordination

Manage and maintain sales team schedules, ensuring appointments and project updates are effectively communicated.
Coordinate project timelines between customers, sales, and the production team to ensure smooth execution.
Communicate with insurance companies to assist with claims processing and project approvals.

Administrative & Accounting Support

Assist in preparing and organizing contracts, proposals, and project documentation.
Work with the accounting team to support invoicing, collections, and financial record-keeping.
Ensure accurate and up-to-date customer records in our CRM and other systems.

Production & Internal Coordination

Liaise with the production team to communicate project updates, customer requests, and job details.
Follow up on completed projects to confirm customer satisfaction and gather feedback.

Light Sales Assistance

Handle inbound inquiries, educate potential clients on services, and schedule appointments for the sales team.
Provide initial pricing information and solutions when appropriate.

What You’ll Bring

✔ Strong communication and organizational skills – ability to manage multiple tasks efficiently.
✔ A customer-first attitude that aligns with 3JM Exteriors’ mission of Building Trust and Delivering Peace of Mind.
✔ Familiarity with CRM software and scheduling tools (preferred but not required).
✔ Experience in the construction or home improvement industry (a plus but not mandatory).
✔ Accounting or bookkeeping experience (helpful but not required).
