Full Job Description

Check Electric is a growing commercial electrical contractor specializing in high-end commercial construction throughout Southwest Florida. We are looking for an organized, detail-oriented Project Administrator to support one of our largest commercial projects.

This position will work directly with our Project Manager and Operations team and will be responsible for keeping all project documentation organized, current, and moving efficiently. The ideal candidate has previous experience in commercial construction administration and understands the fast-paced nature of large construction projects.

Responsibilities

The Project Administrator will be responsible for coordinating and managing all administrative functions of the assigned project, including:

Preparing and tracking RFIs (Requests for Information)
Preparing and processing Submittals
Maintaining Submittal and RFI Logs
Processing AIA Applications for Payment
Assisting with monthly project billing
Managing daily reports and project documentation
Tracking employee timesheets and payroll documentation
Maintaining project filing systems (digital and hard copy)
Coordinating project logistics and scheduling documentation
Maintaining safety records and compliance documentation
Organizing inspections, permits, and closeout documentation
Communicating with General Contractors, Owners, Vendors, and Field Personnel
Managing project correspondence and emails
Scheduling meetings and recording meeting minutes when required
Assisting Project Managers with administrative support throughout the life of the project
Other project administration duties as assigned

Qualifications

Preferred candidates will have:

Minimum 2 years of commercial construction administrative experience
Experience with RFIs and Submittals
Experience with AIA billing and pay applications
Strong Microsoft Office skills (Excel, Word, Outlook)
Experience with Adobe Acrobat PDF editing
Excellent written and verbal communication skills
Exceptional organizational and multitasking abilities
Ability to prioritize multiple deadlines
Strong attention to detail
Professional attitude and willingness to work in a team environment

Preferred Experience

Experience with any of the following is a plus:

Electrical contracting
Commercial construction
Procore
Bluebeam
Viewpoint
Sage
Autodesk Construction Cloud
OSHA documentation
Certified payroll
Lien waivers
Change order documentation
