Job Overview

We are seeking a motivated and detail-oriented Bookkeeper/Administrative Assistant to join our dynamic team. This role offers an exciting opportunity to manage essential financial records while providing vital administrative support across various office functions. The ideal candidate will be energetic, highly organized, and possess a passion for accuracy and efficiency. You will play a key role in maintaining smooth daily operations, ensuring timely bookkeeping, and delivering excellent customer service to clients and staff alike.

Duties

Manage accounts payable and receivable using QuickBooks or similar accounting software, ensuring all financial transactions are accurately recorded and reconciled.
Perform data entry tasks with precision, including invoicing, expense tracking, and maintaining financial records.
Handle multi-line phone systems professionally, directing calls efficiently and providing exceptional customer support.
Assist with office management duties such as filing, document proofreading, calendar management, and organizing office supplies.
Greet visitors at the front desk with friendly professionalism, answer inquiries, and provide outstanding customer service.
Support administrative tasks including appointment scheduling, email correspondence, and maintaining organized filing systems.
Utilize productivity software like Microsoft Office and Google Workspace to prepare reports, presentations, and correspondence as needed.

Skills

Proficiency in QuickBooks accounting software for bookkeeping tasks.
Strong computer literacy with excellent skills in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools.
Experience with multi-line phone systems and phone etiquette to handle inquiries confidently.
Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members.
Demonstrated organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
Previous office experience or administrative experience is essential for success in this role.
Knowledge of clerical procedures such as filing, proofreading, data entry, and calendar management.
Excellent time management skills to handle multiple responsibilities while maintaining accuracy.
Customer service expertise with a friendly demeanor at the front desk or during client interactions.
Technical proficiency in productivity software and familiarity with office management tools is preferred.
