Position Overview

Alorah Healthcare is seeking an experienced and organized Business Office Manager to oversee the financial and administrative functions of our skilled nursing facility.

The Business Office Manager plays an important role in maintaining accurate resident accounts, supporting timely billing and collections, monitoring payer sources, and helping residents and families understand their financial responsibilities. This position works closely with the Administrator, Admissions, Nursing, MDS, Social Services, Human Resources, and corporate accounting teams.

The ideal candidate is knowledgeable in skilled nursing billing and accounts receivable, communicates professionally with residents and families, and can manage multiple deadlines while maintaining accurate and confidential records.

Key Responsibilities

Oversee the day-to-day operations of the facility’s business office.
Verify Medicare, Medicaid, managed care, commercial insurance, hospice, and private-pay eligibility.
Review resident financial information and confirm the correct payer source at admission.
Meet with residents and responsible parties to explain rates, insurance coverage, copays, deductibles, patient liability, and other financial obligations.
Ensure admission agreements, financial responsibility forms, authorizations, and supporting documents are completed accurately.
Maintain accurate resident census information, including admissions, discharges, hospital leaves, bed holds, room changes, and payer changes.
Coordinate billing information with the MDS, Nursing, Therapy, Admissions, Medical Records, Social Services, and other departments.
Prepare, review, or support the submission of Medicare, Medicaid, managed-care, hospice, private insurance, and private-pay billing.
Monitor accounts receivable aging and follow up on unpaid, denied, rejected, or underpaid claims.
Contact insurance carriers, residents, family members, responsible parties, and government agencies regarding outstanding balances.
Establish and monitor payment arrangements in accordance with company policy.
Track Medicaid-pending accounts and assist residents or responsible parties with gathering required application documents.
Communicate with Medicaid eligibility workers and follow up on missing or incomplete information.
Post payments, adjustments, refunds, and other account activity accurately and timely.
Reconcile cash receipts, deposits, resident account balances, and unapplied payments.
Manage or assist with resident trust accounts in compliance with applicable requirements and company policies.
Prepare monthly accounts receivable, collections, census, cash, and financial reports.
Investigate credit balances, billing discrepancies, collection delays, and unusual account activity.
Maintain organized, complete, and survey-ready financial records.
Protect resident privacy and maintain confidentiality of financial and health information.
Assist with audits, state surveys, month-end closing, and requests from the Administrator or corporate office.
Supervise and train business office or reception staff when assigned.
Perform other related duties as needed.

Qualifications

High school diploma or equivalent required.
Associate or bachelor’s degree in business, accounting, healthcare administration, or a related field preferred.
Minimum of two years of business office, accounts receivable, billing, or collections experience.
Skilled nursing, long-term care, rehabilitation, or healthcare billing experience strongly preferred.
Working knowledge of Medicare, Medicaid, managed care, commercial insurance, hospice, and private-pay billing.
Experience with Medicaid-pending applications and resident trust accounts preferred.
Familiarity with skilled nursing billing, census, electronic health record, or accounts receivable software.
Strong understanding of billing documentation, authorizations, payer changes, and collection processes.
Proficiency with Microsoft Excel, Word, Outlook, and general office systems.
Ability to read and understand aging reports, account statements, remittance information, and financial records.
Strong attention to detail and ability to meet billing and reporting deadlines.
Excellent verbal and written communication skills.
Ability to discuss sensitive financial matters respectfully and professionally.
Ability to maintain confidentiality and handle protected information appropriately.
Strong problem-solving, follow-up, and organizational skills.
