Description

Are you highly organized, detail-driven, and passionate about supporting programs that bring a community together? The City of Keene’s Parks & Recreation Department is seeking a versatile Administrative Assistant (30 hours/week) to play a vital role in keeping our operations running smoothly across parks, recreation, cemeteries, and youth services. If you enjoy meaningful work, a variety of responsibilities, and being at the center of community activity, this is the role for you!

What You’ll Do

Provide front-line reception, clerical, and administrative support across all divisions
Communicate with a wide range of customers including youth, families, adults, seniors, partner organizations, and media
Serve as a knowledgeable and helpful resource for programs, services, and procedures
Collect, reconcile, and document departmental revenue
Assist in compiling monthly, quarterly, and annual program and department reports
Support logistics for events and seasonal programming
Manage reservations, rentals, registrations, and scheduling
Track certifications, background checks, and training compliance for seasonal staff
Support risk mitigation efforts through accurate reporting and record keeping
Draft routine correspondence and program communications
Prepare committee meeting materials including agendas, minutes, reports, and notifications
Assist with time sheet processing and payroll coordination
Complete documentation and monthly submissions for CACFP/state-funded at-risk snack programs
Support marketing and outreach efforts across all department divisions
Assist with cemetery-related administrative tasks including burial requests, lot sales, and scheduling

Minimum Qualifications
A high school diploma or GED, plus at least 1 year of office experience.

Pay and Benefits
This year-round position will have a schedule of 30 hours per week. The hours will be 12pm-6pm from September through June, with more flexibility in the summer months. This position offers a pay range of $23.19- $28.91 per hour and is benefit eligible. The City of Keene also offers employees the following benefits: earned time, a retirement plan and employee discounts.
