About Miss Circle

Miss Circle is a New York-based women’s fashion brand with an online store and flagship retail location in Soho, NYC. We are looking for a detail-oriented and highly organized Email Customer Service & Returns Coordinator to join our team.

Job Description

The Email Customer Service & Returns Coordinator will be responsible for handling customer inquiries through email and supporting the full return and exchange process. This role requires strong communication skills, attention to detail, and the ability to coordinate with multiple internal teams, including the store team, design team, return team, shipping team, and overseas factory team.

Mandarin speaking is preferred, as this role may involve communication with overseas factory partners.

Key Responsibilities

· Respond to customer service emails in a timely, professional, and friendly manner.

· Assist customers with order questions, return requests, exchanges, shipping issues, product inquiries, and general support.

· Review and process return requests according to company policy.

· Inspect returned items and coordinate with the return team to determine whether items can be placed back into inventory.

· Update inventory records accurately after return items are approved.

· Communicate with the store team regarding customer concerns, in-store returns, product availability, and order-related issues.

· Work with the shipping team to resolve delivery issues, lost packages, delayed shipments, and address corrections.

· Coordinate with the design team regarding product quality concerns, sizing feedback, defects, or customer comments.

· Communicate with overseas factory teams when needed regarding product issues, defects, production questions, or restocking matters.

· Keep clear records of customer communications, return status, and inventory updates.

· Escalate urgent or complex customer issues to management when needed.

· Help improve customer service procedures and support a smooth return and exchange experience.

Qualifications

· Previous customer service experience, preferably in fashion, retail, e-commerce, or apparel.

· Strong written communication skills in English.

· Mandarin speaking preferred.

· Excellent attention to detail and organizational skills.

· Ability to multitask and manage a high volume of customer emails.

· Comfortable working with order management systems, inventory systems, email platforms, and spreadsheets.

· Positive attitude and strong problem-solving ability.

· Able to communicate professionally with customers and internal teams.

· Fashion or apparel industry experience is a plus.

Ideal Candidate

The ideal candidate is responsible, detail-oriented, patient, and highly organized. They should be comfortable handling customer concerns professionally while also coordinating internally to make sure returns, exchanges, inventory updates, and product issues are handled accurately and efficiently.

Pay: $18.00 - $25.00 per hour

Expected hours: 40.0 per week
