Overview of the Position

The U.S. Probation Department for the Eastern District of New York is accepting applications for the position of Receptionist. This is a full-time position and the incumbent will be responsible for managing the front desk and providing clerical and administrative assistance to the office.

Position Description

Serves as the principal receptionist for the office and is responsible for greeting all incoming visitors. Will receive, screen, and route telephone calls, as well as answer routine questions and refer persons to appropriate personnel based on office operations.

Enters data in an automated case tracking system; obtains and retrieves information from system.

Photocopies documents received and prepares packets for the Offender Processing Unit.

Will be trained on the offender intake process (taking photographs, fingerprinting, and collecting DNA from the person under supervision). Will also be trained on the additional administrative tasks associated with offender processing, such as submitting fingerprints to the FBI and NYS; processing rap sheets and DMV inquiries.

Will be trained on the use of the Probation and Pretrial Services Automated Case Tracking System (PACTS) and the Web Widget.

Performs other duties as required.

Qualifications

Minimum Qualification Requirements : To be considered for this position you must have a minimum of a high school diploma or equivalent and have at least two years of general clerical, office administrative, or other work experience, which provides knowledge of general office practices and procedures; or a bachelor’s degree from an accredited college or university.

Education above the high school level may be substituted for required general experience on the basis of one academic year (30 semester or 45 quarter hours) equals one year of general experience.

Preferred Qualifications:

Successful candidates must be motivated; mature and highly organized; must possess tact, good judgment, poise and initiative; and must maintain a professional appearance, demeanor, and be able to maintain strict confidentiality
Strong verbal, excellent writing and good organizational skills
Proficient computer skills and the effective use of software applications
A working knowledge of or familiarity with court or legal office protocols
Candidates must be able to work in a fast-paced and deadline driven environment. Must have the ability to work both independently and as part of a team.
