Treatment Coordinator (Hospitality-Focused Dental Patient Experience)

We're looking for an experienced Treatment Coordinator who understands that outstanding customer service is just as important as clinical care. This is not simply a scheduling or administrative position. We are seeking someone who can create an exceptional patient experience through professionalism, empathy, confidence, and clear communication.

The Position
Our Treatment Coordinators are the face of our practice and often the first and last people our patients interact with during their visit.

What You'll Do
- Present treatment plans and calculate patient copayments
- Explain financial options with confidence and compassion
- Educate patients about their recommended treatment and insurance benefits
- Verify insurance eligibility and benefits
- Submit and follow up on insurance claims and pre-authorizations
- Schedule appointments that maximize doctor productivity while accommodating patient needs
- Respond promptly to phone calls, emails, and text messages
- Follow up with patients who have unscheduled treatment
- Address patient concerns professionally and escalate when appropriate
- Monitor treatment acceptance and patient follow-up
- Generate reports and maintain accurate documentation
- Maintain an organized, welcoming reception area
- Collaborate closely with doctors and teammates to deliver an exceptional patient experience

Required Qualifications
- Exceptional hospitality and customer service skills
- Excellent verbal and written communication skills with a professional, patient-centered approach
- Strong attention to detail and organizational skills
- Ability to accurately calculate percentages and patient copayments
- Strong computer proficiency and ability to learn new systems quickly
- Flexible availability, including a combination of weekday morning shifts (7:30 AM–5:30 PM), weekday evening shifts (11:30 AM–8:30 PM), and at least one weekend shift
- A positive attitude, emotional intelligence, and the ability to remain calm and professional in fast-paced or challenging situations
- A collaborative team player who enjoys creating exceptional patient experiences
Preferred Qualifications
- Previous experience in a dental office, medical office, or other healthcare setting
- Dental insurance verification, billing, or treatment coordination experience
- Familiarity with PPO dental insurance plans and benefits
- Experience presenting treatment plans, discussing financial options, or collecting patient payments
- Experience using dental practice management software (such as CareStack, Dentrix, Eaglesoft, Open Dental, or similar)

- Weekends and holidays required

Physical Requirements
Work is performed primarily in a fast-paced dental office environment with moderate noise levels. Position requires prolonged computer use and occasional regional travel (5% or less).
