Full Job Description

Position Summary

IDEKO is seeking a highly organized, proactive, and detail-oriented Operations Coordinator to help drive the day-to-day operations of a fast-growing experiential production company. Reporting directly to the Chief Operating Officer, this role is responsible for coordinating many of the company's core business functions, including contract administration, insurance and compliance, employee onboarding, company systems, operational documentation, and internal process management.

The Operations Coordinator serves as a key resource for employees and leadership, ensuring that internal operations run efficiently and that critical administrative functions are executed accurately and on time. Success in this role requires exceptional organizational skills, sound judgment, strong follow-through, and the ability to manage multiple priorities in a fast-paced, project-driven environment.

This position is ideal for someone who enjoys building structure, improving processes, solving problems, and taking ownership of meaningful responsibilities. The successful candidate will become a trusted operational partner to the leadership team while helping build the infrastructure that supports IDEKO's continued growth.

Responsibilities Include, but Are Not Limited To:

1. Contract Administration:

Review agreements for completeness, required documentation, and adherence to company standards, escalating non-standard provisions to management.
Prepare and revise agreements, Statements of Work, releases, amendments, and other business documents using company-approved templates.
Coordinate contract approvals and electronic signatures.
Track agreements from initial draft through full execution.
Maintain an organized and current repository of executed contracts, supporting documentation, and related correspondence.

2. Insurance and Risk Administration

Manage company-wide Certificates of Insurance and related insurance documentation.
Coordinate COI requests with IDEKO’s insurance broker, clients, venues, landlords, vendors, and other third parties.
Review incoming vendor and subcontractor COIs for compliance with applicable requirements and escalate deficiencies.

3. Employee Onboarding and Offboarding

Coordinate the administrative onboarding of new employees, including required documentation, internal communications, equipment, system access, and orientation scheduling.
Coordinate employee offboarding, including the timely removal of system access and collection of company equipment.
Maintain onboarding and offboarding checklists and ensure all required steps are completed.
Maintain organized employee documentation while handling confidential information appropriately.

4. Employee Compliance and Training

Coordinate and track required employee compliance training, certifications, policy acknowledgments, and annual renewals.
Communicate training requirements and deadlines to employees and managers.
Assist with the distribution and acknowledgment of employee policies, handbook updates, and other company requirements.

5. IT and Technology Coordination

Coordinate the ordering, setup, deployment, maintenance, and return of computers, phones, and other company technology.
Maintain an accurate inventory of company-owned computers, phones, equipment, and assigned users.
Assist with software licensing, subscription renewals, access permissions, and technology-related administrative needs.
Add, update, and remove employee users across company systems as needed, including Slack, Monday.com, Brex, Google Workspace, Google Drive, Dropbox, Adobe, Zoom, DocuSign, Microsoft Office, and other internal platforms.
Conduct periodic reviews of active users, licenses, permissions, and subscriptions.
Identify and eliminate unnecessary or duplicative licenses and accounts.

6. Office and General Operations

Oversee the ordering and maintenance of office supplies, kitchen supplies, equipment, and other operational resources.
Coordinate office maintenance, repairs, deliveries, shipping, mail, and outside service providers.
Maintain organized company records, shared drives, templates, forms, policies, and standard operating procedures.
Assist with company meetings, internal events, employee communications, and administrative coordination.
Support general office and operational needs across IDEKO’s locations as required.

7. Executive and Special Project Support

Provide direct operational support to the Chief Operating Officer.
Track open items, deadlines, decisions, and follow-up responsibilities across company initiatives.
Prepare meeting agendas, materials, notes, presentations, spreadsheets, and action-item trackers.
Coordinate cross-department operational projects and ensure assigned items remain on schedule.
Conduct research and gather information necessary to support operational and business decisions.
Assist with one-off projects, urgent requests, and other company priorities as needed.

Requirements

3–5 years of relevant experience in business operations, administration, contract administration, human resources coordination, office management, or a related role.
Exceptional organizational skills and attention to detail.
Strong written and verbal communication skills.
Demonstrated ability to manage multiple priorities and deadlines simultaneously.
Ability to work independently, take ownership, and follow assignments through completion.
Sound judgment and the ability to recognize when an issue should be escalated.
Ability to handle confidential employee, financial, contractual, and company information appropriately.
Strong proficiency in Microsoft Office and Google Workspace, particularly Word, Excel, PowerPoint, Google Docs, Google Sheets, and Google Drive.
Experience with project-management and business platforms such as Monday.com, Slack, Brex, DocuSign, Adobe, or similar systems.
Experience reviewing contracts or managing legal and insurance documentation is strongly preferred.
Experience supporting a fast-paced, project-based, production, agency, or professional-services organization is a plus.
Bachelor’s degree or equivalent relevant work experience.

Pay: $75,000.00 - $85,000.00 per year
