Full Job Description

We are a small, established non-profit providing direct support to vulnerable populations across Southern California facing significant financial challenges. You are passionate about mission driven work, long to make a positive impact in your community and eager to play an essential role in the growth of a social service non-profit organization poised for exponential growth.

The Nonprofit Administrative Coordinator is an entry-level role ideal for recent graduates or early-career professionals interested in mission driven work and the ins and outs of nonprofit administration, program coordination, and community engagement. The Coordinator works directly with the Executive Director, providing hands-on experience across daily operations, program support, outreach, events, marketing, and funding initiatives. The Coordinator will provide support in the execution of programs, administrative systems, fundraising efforts, and community-facing initiatives and events.

General Administration & Operations

Supports daily operational and administrative tasks, including general office and supply management
Respond to emails and phone inquiries in a professional, compassionate and timely manner
Support meeting coordination, scheduling, and documentation
Maintain organized records, files, and internal documents
Support bookkeeping and reporting as needed
Support Federal and State compliance requirements as needed

Program Support & Coordination

Support program delivery, tracking, and reporting
Assist with client intake process as needed
Support outreach, communications, and program awareness efforts

Marketing & Communications

Assist with promoting programs, events, and initiatives
Update website content and assist with basic website maintenance
Support social media posting and content coordination
Assist with coordination and development of marketing materials as needed

Fundraising and Constituent Support

Support fundraising efforts as needed, including online fundraising, email blasts, third party events, organization led events, and outreach
Support e-blast content development and dissemination
Assist with monthly BOD meeting preparation
Provide exceptional customer service to individual and corporate donor community

Events & Community Engagement

Assist with event planning, logistics, and on-site support
Support the ED as needed with print and electronic outreach materials and sponsor outreach efforts
Support event planning, promotion, execution, breakdown, and follow-up
Assist with community partnerships and engagement initiatives

Qualifications

Recent graduate or early-career professional with interest in nonprofit work
Strong organizational and time-management skills
Excellent written and verbal communication skills
Comfortable working in a fast-paced, community-focused environment
Interest in social impact preferred
Interest in learning and developing new processes and procedures
Familiarity with social media required
Familiarity with event coordination processes and event management software preferred
Comfort using a variety of office equipment and tools, such as desktop computers, scanners, postage machines, printers, internet and basic Microsoft Office suite of applications
Familiarity with Quickbooks and CRM software preferred
Bi-lingual preferred

Position Details

Type: Entry-Level
Hours: Full time (40 hours per week) with some degree of flexibility.
Occasional evenings/weekend availability required
Location: In-Person in Orange County
Compensation: $45,000 - $50,000 annually depending upon experience

Physical Demands and Work Environment:

While performing the duties of this job, the employee is regularly required to talk or hear and use hands or fingers to handle objects.
The employee may be required to stand, walk, sit, and occasionally lift or move up to 25 pounds.
Specific vision abilities required include close vision, distance vision, and the ability to adjust focus.
The noise level in the work environment is generally low to moderate.
