Job Type: Full Time (Non-Exempt)

Shift: 8:00 a.m. to 5:00 p.m., Monday through Friday

Job Description

Education and Experience: High school diploma or equivalent. Three to five years of experience in general office practices, procedures, and equipment or any equivalent combination of education, training, and experience which provides the required knowledge, skills, and abilities. Prior HRIS experience and/or familiarity with ATS preferred.

Knowledge: Oral and written communication; office administrative and secretarial practices and procedures, such as business letter writing and the operation of standard office equipment. Extensive knowledge of personal computer, internet, and Microsoft Office software, including Word, Excel, and Outlook; recordkeeping, report preparation, filing methods, data mining, and records management techniques. Correct English usage, including spelling, grammar, punctuation, and vocabulary. Standard business arithmetic, including percentages and decimals.

Skills: High level of customer service orientation and skills. Excellent oral, written and interpersonal communication skills to effectively interact with internal staff, citizens, and other departmental staff in order to give and extricate information in a courteous and friendly manner. Organizing and prioritizing tasks and maintenance of filing and recordkeeping systems, meeting critical deadlines, and following up assignments with a minimum of direction. Analytical skills necessary to perform moderately complex numerical calculations.

Essential Functions: General office administrative duties as well as assisting with minimal recruiting duties. Greets the public; answers the telephone, screens and routes calls. Provides the public with employment and general information regarding department services; responds to employee and general public requests; represents the department in a courteous, tactful, and helpful manner. Administers applicant tests to determine technical suitability and new hire paperwork to part-time new hires. Schedules interviews, appointments, city trainings, meetings and/or reservations; maintains departmental calendar; coordinates meetings, conferences, and speaking engagements as well as travel arrangements when necessary. Prepares interview and new hire orientation packets; new and replacement City employee ID badges and new employee personnel files. Prepares progress, statistical, and narrative reports concerning office activities and projects using information from office files and/or other sources. Compiles and verifies complex and/or technical information into tracking spreadsheets; types and composes confidential letters, prepares reports, charts or tables from general specifications; researches and assembles a variety of data from office records for incorporating into various reports. Serves as staff support for various special projects, and/or events; researches and gathers special project information for supervisor in order to prepare periodic progress reports. Maintains and monitors manual and/or computerized recordkeeping and filing systems along with archival information; files for all HR positions; assembles, verifies, and enters a variety of data and generates various reports; prepares statistics and summary reports; prepares and submits information for further processing. Purges files to locate specific information. Photocopies, scans, and emails a variety of documents, correspondence, and forms; receives, date stamps, opens, sorts, and distributes incoming mail; orders and stocks departmental supplies. Stays informed and up-to-date on City employment policies and current Human Resources issues. Performs day-to-day activities that are required to keep the department functioning effectively; performs other related work as required.

Mental and Physical Abilities: Ability to concentrate, pay close attention to detail, and multi-task with constant breaks in concentration associated with answering telephones or speaking in person to citizens and employees requiring assistance. Ability to maintain confidentiality; receive and follow both oral and written instructions. Ability to work independently and apply sound judgment when resolving recurring problems and customer complaints; maintain regular, predictable and punctual attendance. Limited amount of physical effort required associated with walking, standing, lifting and carrying light objects (less than 25 lb.) 5-10% of work time.

Working Conditions: Work is performed in a normal office environment where there are little or no physical discomforts associated with changes in weather or discomforts associated with noise, dust, dirt, and the like.

Additional Information: Final candidates will undergo spelling, typing, Microsoft Outlook, Excel, and Word assessment. Selected applicant must pass background investigation and drug screen.
