Full Job Description

Position Overview

We are looking for an organized, dependable, and personable Office Manager to help lead the daily operations of our growing chiropractic office. This role combines office management responsibilities with front desk operations and patient experience. The ideal candidate enjoys creating an exceptional experience for patients while keeping the office running efficiently behind the scenes.

This is a hands-on role. You'll be the first person our patients see when they walk through the door and a key member of our team responsible for maintaining a welcoming, organized, and positive environment.

Primary Responsibilities

Office Management

Oversee the daily operations of the office
Manage office workflows and ensure efficient scheduling
Maintain office supplies and place inventory orders
Coordinate equipment maintenance and vendor relationships
Assist with implementing office policies and procedures
Support marketing events and community outreach initiatives
Track office metrics and assist with reporting
Help onboard and train new front desk team members
Identify opportunities to improve office efficiency and patient satisfaction

Front Desk & Patient Experience

Welcome every patient with a friendly and professional attitude
Check patients in and out
Schedule appointments and manage provider calendars
Answer phones, emails, and text communications
Collect payments and process financial transactions
Verify insurance information and assist with patient paperwork
Maintain accurate patient records
Handle patient questions and resolve concerns with professionalism
Ensure every patient receives exceptional customer service from arrival to departure

Team Leadership

Help maintain accountability and consistency within office procedures
Foster a positive, team-oriented culture
Communicate effectively with the doctor and team regarding daily priorities
Step in wherever needed to ensure smooth office operations

Office Appearance & Cleanliness

Maintain a clean, organized, and welcoming office environment throughout the day
Clean treatment rooms and common areas between patients as needed
Restock supplies throughout the office
Ensure the reception area remains inviting and clutter-free
Assist with opening and closing procedures

Qualifications

2+ years of office management, healthcare, or customer service experience preferred
Previous chiropractic, medical, dental, wellness, or healthcare office experience is a plus
Strong organizational and multitasking skills
Excellent communication and interpersonal skills
Comfortable learning office software and technology
Ability to work independently and take initiative
Professional appearance and positive attitude
Reliable, trustworthy, and detail-oriented

This role is ideal for someone who enjoys leadership but isn't afraid to jump in and answer phones, greet patients, tidy the office, or help wherever needed. Every member of our team contributes to creating an exceptional patient experience, and this position plays a vital role in making that happen.

Pay: $20.00 - $25.00 per hour
