Full Job Description

Position Summary

The Behavioral Health Care Coordinator provides administrative and care coordination support to Psychiatric Nurse Practitioners, with a primary focus on medication prior authorizations, prescription-related workflows, and patient access to care. The role serves as a liaison between providers, patients, pharmacies, and insurance companies to help resolve authorization and medication access issues efficiently. This is a part-time position of 12-15 hours a week initially.

Additional responsibilities include insurance verification, scheduling, patient onboarding, billing support, documentation, and general administrative assistance. This position helps reduce administrative burden on providers while supporting efficient clinical operations and a positive patient experience.

Reports to: Psychiatric Nurse Practitioner and Practice Owner

Key Responsibilities

Medication & Pharmacy Coordination

Submit, track, and follow up on medication prior authorizations and appeals.
Coordinate prescription, refill, and medication-related issues with patients, providers, pharmacies, and insurers.
Help resolve medication access, availability, and insurance barriers.
Document medication-related communications and outstanding tasks.

Insurance & Billing Support

Verify insurance eligibility, benefits, referrals, and authorization requirements.
Identify and help resolve coverage issues that may delay care.
Submit insurance claims and assist with denials, rejections, EOBs, and claim follow-up.
Coordinate with billing staff regarding outstanding payer issues.

Scheduling & Patient Coordination

Schedule, confirm, reschedule, and coordinate patient appointments.
Ensure required paperwork and documentation are completed before appointments.

Client Onboarding

Support new patient intake and onboarding.
Assist clients with forms, insurance information, and other required documentation.
Follow up on missing information to ensure patients are prepared for appointments.

Administrative & Clinical Operations

Maintain accurate client records and document communications in the electronic health record.
Answer phone calls and assist with scheduling, billing, and general questions.
Process confidential documents, including scanning, uploading, copying, and faxing.
Provide administrative cross-coverage and support the Office Manager and clinical team.
Assist with workflow improvements, quality initiatives, and development of new clinical services.

Required Qualifications

High school diploma or equivalent.
At least one year of experience in a healthcare, behavioral health, or medical office setting.
Familiarity with insurance verification and authorization processes.
Strong communication, organization, time-management, and problem-solving skills.
Proficiency with electronic health records and standard office software.
Ability to manage multiple priorities while maintaining accuracy and confidentiality.
Commitment to HIPAA compliance.

Preferred

Experience in behavioral health, psychiatry, primary care, or specialty medicine.
Experience with prior authorizations, insurance billing, and claims.
Familiarity with psychotropic medications and electronic prior authorization platforms such as CoverMyMeds.
Medical Assistant certification (CMA/RMA) or equivalent experience.
