Full Job Description

Kellex Seating is seeking a highly motivated Sourcing Operations & Project Coordinator. This position is a pivotal back-office role within the furniture sourcing division, serving as the operational engine between 3rd party suppliers, the Sourcing Manager, and the sales quoting team. The individual ensures product quoting, item management, order execution, cost management, and order tracking are handled effectively.

This is an on-site role, either in Hickory or High Point, NC. No relocation assistance will be provided

Key Responsibilities:

Quoting & Pricing

* Prepare accurate and timely product quotes in response to sourcing requests, incorporating material costs, production lead times, and margin targets.

* Coordinate with the Sourcing Manager to validate pricing assumptions and competitive positioning.

* Maintain quote logs and follow up on open quotation activity to support conversion.

SAP Item Setup & Maintenance

* Create and configure new items in SAP, ensuring all required fields, item classifications, units of measure, and BOMs are accurate and complete.

* Maintain current cost and sales price data within SAP, reflecting supplier updates, currency adjustments, and negotiated changes in a timely manner.

* Conduct periodic audits of item master data to identify and correct discrepancies before they impact order processing or financial reporting.

Purchase & Production Order Management

* Issue purchase orders to vendors and production orders to manufacturing in accordance with approved sourcing plans and customer requirements.

* Confirm order acknowledgements, monitor scheduled ship dates, and escalate delays or discrepancies proactively.

* Maintain organized records of all open and closed orders; ensure proper documentation flow through SAP.

Order Tracking & Logistics Coordination

* Track orders from placement through delivery, providing regular status updates to the Sourcing Manager, and project management.

* Identify and resolve exceptions including shipment delays, quality holds, or documentation issues, coordinating resolution across internal and external parties.

* Maintain visibility dashboards or tracking tools to support on-time delivery performance.

Factory & Sourcing Liaison

* Serve as the day-to-day point of contact between the factories and the Sourcing Manager, facilitating clear and timely communication on capacity, scheduling, product changes, and quality matters.

* Support supplier relationship management by maintaining accurate records, communication logs, and performance notes.

Qualifications

Required:

* 3+ years of experience in operations, supply chain, purchasing or customer-facing project coordination in a manufacturing or sourcing environment.

* Hands-on proficiency with SAP (item master, purchase orders, production orders, pricing) - ability to navigate and maintain data independently without IT support.

* Demonstrated ability to manage multiple concurrent projects with competing timelines and stakeholders.

* Strong written and verbal communication skills; comfortable serving as the bridge between factory operations and commercial teams.

* High proficiency in Microsoft Excel and Office 365 tools.

* Detail-oriented with a disciplined approach to data accuracy and documentation.

Preferred

* Experience in commercial furniture, hospitality/contract furniture, or a build-to-order manufacturing environment.

* Familiarity with hotel and senior living project procurement cycles and lead time requirements.

* Experience supporting sales teams in a project coordinator or customer success capacity.

Process Discipline - Follows and continuously improves structured workflows across quoting, ordering, and tracking.

Commercial awareness - Understands how cost accuracy, lead time, and order integrity affect customer satisfaction and margin.

Must be able to successfully pass a pre-employment drug screen and a criminal background screen.
