Job Summary

We are seeking a highly organized Office Assistant to join our HR and Labor Compliance department, supporting prevailing wage compliance and daily operations. You will handle administrative tasks, manage communication, and assist with California prevailing wage labor compliance initiatives. This role offers an exciting opportunity to develop administrative expertise while maintaining organizational compliance standards.

Responsibilities

Provide administrative support to the HR and Labor Compliance Manager.
Perform accurate data entry and maintain employee records with strict confidentiality.
Manage electronic and physical filing systems, ensuring organization and regulatory compliance.
Maintain databases and spreadsheets with high accuracy for compliance tracking.
Prepare HR and labor compliance correspondence, reports, and documentation.
Answer phones, respond to emails, and assist with HR and compliance inquiries.
Support new employee onboarding, including processing paperwork and ensuring legal compliance.
Assist with registering public works projects with the California Department of Industrial Relations (DIR) and verifying contractor registrations.
Maintain prevailing wage determinations and assist with Certified Payroll Records (CPR) using the DIR's eCPR system.
Collect, organize, and submit EIS documents and job-required documentation to the labor compliance team.
Maintain records of fringe benefit contributions and verify correct worker classification per prevailing wage standards.
Support LCP tracker and BCA submissions through the DIR.
Assist with internal compliance audits and track local hire data.
Support compliance postings, apprenticeship verification, and labor compliance training records.
Assist with preparing compliance reports and regulatory submissions.

Requirements

Previous administrative or office experience (HR/labor compliance experience preferred but not required).
Proficient in Microsoft Office and Google Workspace.
Strong data entry and organizational skills with meticulous attention to detail.
Ability to handle confidential information and work independently and as a team member.
Excellent written and verbal communication skills.
Familiarity with California employment laws and prevailing wage compliance is preferred.

Pay: From $22.00 per hour

Work Location: In person
