Full Job Description

Job Summary:

The Back Up Receptionist & Special Projects Assistant provides administrative support to the Human Resources department and other departments while serving as a backup to the front desk as needed. This position assists with special projects, company initiatives, document preparation, data entry, filing, event coordination, customer transactions, and other administrative assignments that support the organization's daily operations.

When assigned to front desk coverage, this position serves as the first point of contact for employees, applicants, visitors, vendors, and customers by answering incoming calls, greeting and directing visitors, processing mail and deliveries, maintaining office supply functions, and ensuring the reception area operates efficiently. The employee is expected to demonstrate flexibility, initiative, professionalism, strong organizational skills, attention to detail, and a willingness to assume additional responsibilities in support of the organization's operational needs and overall success.

Compensation: Depending on Experience (DoE)
Schedule: The initial training period may require working up to five days per week for two week.
After August 24th, the schedule will transition to an as-needed schedule.

Employment Type: Seasonal On-Call
FLSA Status: Non-Exempt

Essential Functions:

The employee must ensure the front desk is prepared to receive visitors and answer incoming calls no later than 8:00 AM each workday when assigned to reception duties. By 8:00 AM each workday when assigned to reception duties. By 8:00 AM, the front gate must also be open and unlocked to allow employees, visitors, vendors, and customers to enter the facility without delay.
Reception is expected to remain at the front desk until 5:00 PM unless otherwise directed by leadership or properly relieved.
Lunch breaks may not exceed one (1) hour unless otherwise approved by leadership.
Prior to leaving for lunch or any extended absence from the reception desk, Reception must notify Human Resources and wait until relieved to ensure continuous front desk coverage.
Greet all visitors, customers, applicants, vendors, and employees in a friendly, professional, and courteous manner. If someone is waiting in the reception area, promptly acknowledge them and ask how you may assist or who they are here to see.
Promptly answer incoming telephone calls and direct or forward them to the appropriate department or individual.
If Human Resources is unavailable or in a meeting, Reception should contact Lili for assistance whenever necessary. If immediate assistance is unavailable, Reception should take a detailed message, advise the employee that the message will be forwarded to Human Resources, and ensure it is relayed promptly.
Process customer transactions accurately, efficiently, and professionally. Ensure all required documentation, payments, receipts, and records are completed and maintained in accordance with company procedures while providing excellent customer service.
Receive, sort, distribute, prepare, and process incoming and outgoing mail, packages, and deliveries in a timely manner.
Follow all visitor sign-in, identification, and security procedures to ensure compliance with company policies.
Maintain a clean, organized, and professional reception area throughout the workday.
Monitor office supply inventory and notify leadership when supplies need to be replenished to prevent shortages.
Assist Human Resources and other departments with administrative duties, special projects, company initiatives, and other assignments as directed by leadership.
When workload is light or assigned tasks have been completed, proactively seek additional work or request further assignments from leadership.
At the end of each workday, Reception is responsible for ensuring all designated gates are secured and locked prior to leaving.

Qualificiations:

Valid Driver’s License is required.
Must be able to pass an Airport Background Criminal History Check.
Must be able to pass a Drug Test and Airport Background criminal history check.
Must be able to work effectively in a drug-free workplace and comply with company drug and alcohol policies.
Proficient in computer literacy with experience in Microsoft Suite (Excel, PowerPoint, Word) is preferred.
Strong organizational skills with the ability to prioritize multiple tasks, manage changing priorities, and maintain attention to detail in a fast-paced environment.
Strong verbal and written communication skills with the ability to professionally interact with employees, customers, vendors, and leadership while providing excellent service and maintaining positive working relationships.
