Full Job Description

We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team in this full-time position (40 hours per week). This role combines essential bookkeeping responsibilities with administrative support to ensure smooth daily operations. The ideal candidate will be proactive, highly organized, and possess excellent communication skills. You will manage financial records, handle client and team correspondence, and support office management tasks to foster an efficient and welcoming environment. This paid position offers an exciting opportunity to contribute to a growing organization while developing your administrative and financial expertise.

Duties

Maintain accurate financial records using QuickBooks Desktop, including invoicing, accounts receivable (A/R), accounts payable (A/P), expense tracking, and bank reconciliations
Prepare city tax forms and organize proper documentation to assist the accountant (note: this role does not handle tax preparation, but rather assists the accountant)
Manage multi-line phone systems, answer business inquiries professionally, provide customer service, and direct calls appropriately
Provide front desk support by greeting visitors, handling mail, and maintaining a tidy reception area
Assist with data entry tasks, updating spreadsheets, and preparing reports using Microsoft Office Suite
Support office management and administrative activities such as filing, calendar management, scheduling appointments, and organizing meetings
Communicate effectively with clients and team members via phone and email to ensure timely responses and excellent customer service
Perform clerical duties including word processing, document preparation, filing systems organization, and maintaining office supplies

Qualifications

Proven experience with QuickBooks Desktop and ADP for payroll adjustments
Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook) and data entry tasks
Excellent organizational skills with the ability to prioritize multiple tasks efficiently
Previous office experience in administrative or clerical roles preferred
Bilingual abilities are a plus to support diverse client interactions, but not required
Exceptional phone etiquette and customer service skills for front desk and phone operations
Technical proficiency in managing spreadsheets, calendars, and productivity software
Demonstrated ability to handle confidential information with discretion and professionalism
Strong typing skills with attention to accuracy and speed
Personal assistant or office management experience is desirable for supporting daily operations
