Full Job Description

Founded in 1967, Casa is one of the only treatment centers in Southern California designed to specifically meet the needs of women in recovery. Casa Treatment Center is a residential, outpatient, and sober living substance abuse facility headquartered in Pasadena. Casa is licensed by the State of California Department of Health Care Services and accredited as a behavioral health care program by the Joint Commission.

Job Description

The Admissions Specialist/Navigator serves as the first point of contact for prospective clients seeking outpatient substance use disorder (SUD) treatment services. This position is responsible for coordinating the intake process from initial inquiry through admission while ensuring compliance with Drug Medi-Cal (DMC), DHCS, and SAPC requirements.

The Admissions Specialist provides compassionate customer service, verifies eligibility, schedules assessments, assists clients in navigating treatment services, coordinates with referral sources, and supports engagement to reduce barriers to care. This role is essential in ensuring timely access to treatment and maximizing client retention from first contact through successful enrollment.

Schedule: M-F 9:30-6:00pm

Responsibilities

Admissions & Intake

Respond promptly to all phone calls, walk-ins, website inquiries, and referrals.

Complete telephone screenings to determine eligibility for outpatient services.

· Explain available levels of care, program expectations, treatment schedules, and admission requirements.

· Verify Drug Medi-Cal eligibility, insurance benefits, and authorization requirements.

· Schedule intake assessments and coordinate admission appointments.

· Obtain required documentation prior to admission.

· Maintain accurate referral and admission logs.

· Conduct reminder calls and appointment confirmations.

· Ensure all required admission paperwork is completed accurately and timely.

Client Navigation

· Guide clients through the admission process from referral through enrollment.

· Assist clients in overcoming barriers to treatment, including transportation, childcare, documentation, and insurance issues.

· Coordinate referrals to internal and external resources when appropriate.

· Maintain regular communication with prospective clients until admission.

· Follow up with individuals who miss intake appointments to encourage re-engagement.

· Provide trauma-informed, culturally responsive, and client-centered customer service.

Care Coordination

· Collaborate with counselors, medical providers, clinical supervisors, and case managers to ensure seamless transitions into care.

· Coordinate referrals from hospitals, detox programs, criminal justice agencies, healthcare providers, and community partners.

· Communicate admission status with referral sources while maintaining confidentiality.

· Assist clients with referrals to higher or lower levels of care when clinically indicated.

Documentation & Compliance

· Ensure compliance with DHCS, Drug Medi-Cal, SAPC, HIPAA, and 42 CFR Part 2 regulations.

· Complete all admission documentation within required timelines.

· Maintain accurate electronic health records.

· Monitor outstanding documentation needed prior to admission.

· Assist with audits and quality improvement activities.

· Protect client confidentiality at all times.

Community & Customer Service

· Develop positive working relationships with referral partners.

· Represent the organization professionally during community outreach activities.

· Provide exceptional customer service to clients, families, referral sources, and community partners.

· Assist with outreach events and program tours as assigned.

Supervisory Responsibilities

Education, Experience, and Credentials Required

· High school diploma or equivalent required.

· Associate’s or Bachelor’s degree in Behavioral Health, Psychology, Social Work, or related field preferred.

· Minimum of two years of experience in admissions, intake, case management, healthcare, behavioral health, or substance use treatment.

· Knowledge of Drug Medi-Cal (DMC), ASAM Criteria, and SAPC requirements preferred.

· Experience working with electronic health records.

· Bilingual English/Spanish strongly preferred.

· Valid California driver’s license and reliable transportation.

· Strong customer service and engagement skills.

· Excellent verbal and written communication.

· Ability to establish rapport with individuals in crisis.

· Knowledge of motivational interviewing principles preferred.

· Strong organizational and time-management skills.

· Ability to multitask in a fast-paced environment.

· Knowledge of HIPAA and 42 CFR Part 2 confidentiality requirements.

· Ability to work independently while collaborating effectively with multidisciplinary teams.

· Proficiency with Microsoft Office and electronic health record systems.

Physical Requirements

· Ability to sit, stand, and walk for extended periods.

· Frequent computer and telephone use.

· Ability to occasionally lift up to 25 pounds.
