Job Summary

We are seeking a dynamic and highly organized Office Assistant to join our team! Responsibilities

Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette
Handle multi-line phone systems, screening calls, taking messages, and transferring calls efficiently
Maintain organized filing systems, both digital and paper-based, ensuring quick retrieval of documents
Perform data entry tasks using productivity software such as spreadsheets and word processing tools with accuracy and speed
Assist with calendar management, scheduling appointments, meetings, and coordinating events for staff or clients
Support office management activities including supply inventory, order placement, and equipment maintenance
Provide excellent customer service by responding promptly to inquiries via phone or email and supporting client communication efforts

Skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with strong computer literacy and technical proficiency
Experience with QuickBooks or similar accounting software is a plus for managing basic financial records
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
Bilingual abilities are highly desirable to assist diverse client and staff needs
Strong typing skills combined with data entry experience to ensure accuracy and efficiency
Demonstrated office experience including clerical duties such as filing, document processing, and administrative support
Exceptional phone communication skills coupled with professional phone etiquette and customer support experience
Ability to manage multiple responsibilities simultaneously while maintaining high productivity levels
