Job Posting: Rockland Public Schools: District Teaching and Learning Department Secretary & Transportation CoordinatorPosition Title: Department Secretary & Special Education Transportation CoordinatorLocation: Central Administration OfficeReports To: Assistant Superintendent of Teaching and LearningJob Type: Full-Time, 12-Month PositionSalary/Benefits: Competitive, based on experience (Includes comprehensive health, dental, and retirement benefits)Position OverviewThe Central Office Special Education Department Secretary & Transportation Coordinator plays a vital role in ensuring the smooth administrative and logistical operation of the Special Education Department. This dual-role position requires a highly organized, detail-oriented professional to oversee the coordination and paperwork for the entire IEP meeting life cycleincluding initial referrals, annual reviews, and reevaluations. This is done in collaboration with the Assistant Superintendent, and district Special Education Coordinators. This role also supports the Assistant Superintendent with daily logistics that involve all aspects associated with teaching and learning.

Additionally, this individual manages specialized transportation logistics for students with disabilities, interfacing professionally with families, staff, and external vendors. Oversees the Rockland Public Schools fleet of vehicles to ensure maintenance, inspection, and state required compliance is maintained. Also responsible for ensuring annual compliance is met for all training and certification for drivers employed by Rockland Public Schools. Key ResponsibilitiesSpecial Education Secretarial & Meeting Coordination (Approx.

60%)IEP Meeting Management: Work collaboratively with district Special Education Coordinators to oversee the end-to-end coordination, scheduling, and setup of all special education Team meetings, ensuring strict adherence to regulatory timelines.Referral & Review Process: Coordinate all administrative paperwork, tracking, and compliance documentation for initial referrals, annual meetings, and three-year reevaluation meetings.Administrative Support: Serve as a point of contact for the Central Office Special Education Department and Assistant Superintendent of Teaching and Learning; greet visitors, answer phones, route inquiries, and respond to correspondence.Records Management: Maintain accurate, highly confidential student files and electronic databases in strict compliance with FERPA and state/federal regulations.Financial & State Reporting: Assist with processing department purchase orders, invoices, and specialized tuition billing; help compile data required for state and federal reporting.Transportation Coordination Duties (Approx. 40%)Route Planning & Coordination: Collaboratively arrange, monitor, and optimize daily specialized transportation (buses, specialized vans) for in-district and out-of-district special education students.Vendor & Driver Liaison: Act as the primary liaison between the district, contracted transportation vendors, and bus drivers/monitors to communicate route changes, student needs, and schedule adjustments.Family Communication: Serve as the main point of contact for parents/guardians regarding pick-up/drop-off times, delays, routing changes, and specialized transportation accommodations.Emergency Problem-Solving: Efficiently handle real-time transportation issues, including missed bus runs, vehicle breakdowns, inclement weather delays, and student behavioral or medical incidents during transit.Oversee early morning phone/radio calls and transportation logistics during the school year and summer extended year programming. Qualifications & SkillsEducation: High School Diploma or equivalent required; Associates or Bachelors degree preferred.Experience: Minimum of 23 years of clerical or administrative experience, preferably within a school district central office, special education department, or logistics role.Technical Skills: Proficiency in Microsoft Office Suite and Google Workspace.
