This position is with a licensed Cannabis operator, with 3 stores, cultivation and manufacturing. Main office is in Dedham, MA, but this job will require some days at the Wareham office and facility. Any of the following are important skills and experience helpful for this job: Experience in this industry, especially in management or administration. Specific experience or expertise with Metrc, Dutchie, Headset,or other industry software. Experience working with municipalities and with CCC. Experience in law or real estate offices may be helpful. Good communication skills. Able to handle multi tasking. Any financial background, bookkeeping, A/P, A/R, etc. is useful. The following are more general skills and descriptions of work.

Overview of General Skills

We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring that the office runs smoothly and efficiently. Your energetic approach and attention to detail will support our team’s productivity and foster a welcoming environment for clients and visitors alike. This position offers an exciting opportunity for someone with strong administrative skills, excellent communication abilities, and a passion for creating an organized workspace. Your proactive attitude will help streamline processes, manage schedules, and provide exceptional support across all office functions.

Responsibilities

Manage front desk operations, greeting visitors and directing phone calls using multi-line phone systems with professionalism and courtesy
Oversee calendar management, scheduling meetings, appointments, and coordinating events to optimize team productivity
Handle data entry tasks accurately using spreadsheets and productivity software such as Microsoft Office, including Word processing and proofreading documents
Maintain organized filing systems—both digital and physical—ensuring easy retrieval of documents and records
Support office management activities by ordering supplies, managing inventory, and coordinating maintenance requests
Provide excellent customer service by responding promptly to inquiries via phone or email, ensuring client communication is clear and professional
Assist with clerical tasks such as copying, scanning, faxing, and preparing reports to support daily operations
Utilize computer skills to troubleshoot basic technical issues and ensure all office equipment functions properly

Experience

Proven office experience or administrative background with demonstrated proficiency in office management tasks
Strong computer literacy with expertise in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with productivity software and spreadsheets
Experience with QuickBooks or similar accounting software is a plus for handling basic financial records
Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
Bilingual abilities are highly desirable to support diverse client interactions and team communication
Previous experience in customer service or front desk roles that involved phone communication, phone etiquette, and client interaction
Personal assistant experience or calendar management skills that showcase your ability to prioritize tasks effectively
