Accounting Assistant – Accounts Receivable, Payables, Credit & Collections

Job Summary

We are seeking a detail-oriented and organized Accounting Assistant to support our finance team with a primary focus on accounts receivable, accounts payable, credit management, collections, and data entry. This is an excellent opportunity for an entry-level candidate with at least one year of office, accounting, administrative, or data-entry experience and a basic understanding of accounting principles.

The ideal candidate is dependable, organized, comfortable working with numbers, and willing to learn. Training will be provided on company-specific procedures and systems. This role requires accuracy, attention to detail, good communication skills, and the ability to manage multiple priorities.

Key Responsibilities Accounts Receivable & Credit Collections

Assist with daily accounts receivable activities, including entering and posting customer payments
Maintain accurate customer account records and update account information
Monitor customer accounts for outstanding and past-due balances
Contact customers by phone and email regarding overdue invoices and outstanding balances
Assist with collection follow-up and document customer communications
Prepare and send customer statements and collection correspondence
Research and help resolve account discrepancies, short payments, and disputed invoices
Assist with customer credit applications, account setup, and credit reviews
Review customer payment history and bring credit concerns to management's attention
Work with sales and internal departments to resolve billing and customer account issues

Accounts Payable

Enter and process vendor invoices accurately and in a timely manner
Verify invoices and supporting documentation for completeness and accuracy
Assist with vendor account reconciliations and statement reviews
Research invoice discrepancies and communicate with vendors as needed
Maintain organized accounts payable records
Assist with payment inquiries and other vendor-related questions

Data Entry & Accounting Support

Enter financial and customer information accurately into accounting software and spreadsheets
Review data for accuracy and correct errors or discrepancies
Maintain organized digital and physical accounting records
Assist with account reconciliations and basic reporting
Prepare routine accounts receivable, accounts payable, and collections reports
Assist with month-end and year-end accounting activities
Perform general administrative and data-entry duties as needed
Maintain confidentiality of customer, vendor, and financial information

Qualifications

High school diploma or equivalent required; accounting, finance, or business education is a plus
At least one year of data-entry, office, administrative, accounting, bookkeeping, or related experience
Entry-level candidates are encouraged to apply
Basic understanding of accounting principles, including accounts receivable and accounts payable
Basic understanding of credit and collections processes is preferred but not required
Comfortable working with numbers and financial information
Basic proficiency with Microsoft Excel, Word, and computer systems
Strong attention to detail and accuracy
Good organizational and time-management skills
Professional written and verbal communication skills
Ability to learn new accounting software and company procedures
Ability to work independently while also being a team player
Dependable, responsible, and willing to learn

Preferred Skills

Basic understanding of accounts receivable, accounts payable, credit, and collections
Previous customer service or telephone experience
Experience with data entry and maintaining accurate records
Basic Excel skills, including entering and organizing data
Experience using accounting software or ERP systems is a plus
Strong problem-solving and follow-up skills
Ability to prioritize tasks and meet deadlines

Experience Level: Entry Level / 1+ Year Related Experience

Training: Training will be provided for company-specific accounting systems, procedures, and collection processes.

Pay: $46,000.00 - $49,000.00 per year
