Facilities & Assets Department Manager Job Description

Overview:

The Facilities & Assets Department Manager is responsible for overseeing all physical operations of the landscaping materials yard/warehouse , including property upkeep, equipment and fleet management, inventory infrastructure, and operational efficiency. This role ensures that yard operations run safely, efficiently, and cost-effectively while maintaining all equipment, storage areas, and facilities in top working condition. The top priority for this position is to prioritize trucks, equipment, and snow equipment for constant, reliable operational availability. During the snow season, this position is an integral part of the snow operations team.

Job Responsibilities

Yard & Facility Management

Oversee daily operations of the materials yard, including traffic flow, loading areas, and crew access
Maintain grounds, including gravel lots, drainage systems, signage, fencing, and lighting
Ensure cleanliness, organization, and safety of material bins and storage zones
Coordinate snow removal, dust control, and stormwater management
Manage facility systems such as warehouse, offices, utilities, and security systems
Ensure compliance with OSHA, EPA, and local environmental regulations

Equipment & Asset Management

Manage all operational equipment including loaders, skid steers, forklifts, trucks, trailers, tools, mowers, handheld equipment, snowplows, salt spreaders, and seasonal lawn and landscape equipment
Develop preventive maintenance schedules for all machinery
Track equipment usage, downtime, and repair costs
Maintain asset inventory and lifecycle records (purchase, maintenance, resale/disposal)
Coordinate repairs with vendors or in-house mechanics
Optimize equipment allocation to reduce idle time and improve productivity
Coordinate purchasing, negotiate pricing, maintenance, warranty/recalls and renewals

Material Handling Infrastructure

Oversee layout and maintenance of bulk material bins (mulch, rock, soil, sand, etc.)
Ensure efficient material flow from delivery to storage to crew loading
Coordinate bin repairs, replacements, and capacity planning
Monitor inventory shrinkage, contamination, and handling losses
Work closely with production/operations/sales team to improve yard efficiency

Vendor & Contractor Management

Manage relationships with equipment service providers, mechanics, and facility contractors
Negotiate service agreements and monitor vendor performance
Coordinate third-party work (repairs, plumbing , HVAC, electrical, etc.)

Safety & Compliance

Implement and enforce yard safety policies (equipment operation, traffic flow, PPE)
Conduct routine safety inspections and equipment checks
Maintain compliance records for inspections, permits, and environmental regulations
Investigate incidents and implement corrective actions
Install and monitor GPS tracing system for vehicles operating in the field

Budget & Cost Control

Develop and manage maintenance and capital expenditure budgets
Monitor fuel usage, repair costs, and facility expenses
Identify cost-saving opportunities (preventive maintenance, equipment replacement timing, etc.)
Support ROI decisions for new equipment or yard improvements

Project & Site Development

Lead yard improvement projects (layout redesign, paving, drainage upgrades, new storage areas)
Support expansion planning and site development initiatives
Manage equipment installations and infrastructure upgrades

Team Oversight

Supervise yard staff, maintenance personnel, or operators (if applicable)
Coordinate work schedules and assign maintenance tasks
Train staff on proper equipment use and safety practices

Required Qualifications

3–7+ years experience in yard operations, heavy equipment management and facilities management
Strong knowledge of heavy equipment (loaders, skid steers, conveyors, etc.)
Experience supervising in-house mechanics, off season maintenance staff performing winter maintenance and yard staff
Fleet management, landscape equipment or heavy equipment or facilities management
Experience with maintenance tracking systems or asset management tools
Understanding of material handling and outdoor operations logistics
Ability to manage budgets and prioritize competing operational needs
Strong leadership and problem-solving skills

Preferred Qualifications[JB7]

Experience in landscaping materials, construction supply, or warehouse operations
CDL or familiarity with trucking operations (preferred)
OSHA safety training or certification
Experience managing multi-acre outdoor facilities
DOT compliance management
