Essential Responsibilities - specific to this job

Leads and supervises the centralized Facilities Maintenance Operations Center, ensuring effective daily operations.

Manages CMMS-driven intake, prioritization, scheduling, and dispatch of maintenance work orders.

Serves as CMMS system owner, ensuring configuration, data integrity, workflows, user access, and standard operating procedures (SOPs).

Oversees CMMS asset management, including hierarchies, lifecycle data, warranties, and replacement planning.

Analyzes CMMS KPIs and drives performance reporting, continuous improvement, and operational efficiencies.

Trains staff and enforces CMMS usage standards to ensure consistent adoption and data quality.

Coordinates with school administrators, supervisors, technicians, contractors, IT, and finance to ensure timely service delivery and system integration.

Acts as an escalation point and resolves service issues, scheduling conflicts, and resource allocation challenges.

Establishes, prioritizes, and approves work order classifications and maintains final decision authority over prioritization and scheduling exceptions.

Ensures compliance with policies, safety regulations, and maintenance recordkeeping requirements while balancing preventive and reactive maintenance strategies.

Performs other duties as assigned.

Qualifications for Successful Performance

Knowledge, Skills, Abilities and Behaviors

Knowledge of facilities maintenance operations, service delivery, and asset lifecycle management in large, multi-site environments.

Knowledge of preventive and corrective maintenance practices and industry standards.

Knowledge of CMMS platforms, including work order management, preventive maintenance, asset tracking, and reporting.

Strong customer service and stakeholder engagement skills, with the ability to effectively communicate with technicians, supervisors, administrators, and school-based staff.

Skill in data analysis, reporting, and developing clear dashboards and presentations to support leadership decision-making.

Skill in supervising staff, coaching performance, and leading high-performing teams.

Skill in identifying operational inefficiencies, implementing process improvements, and developing standard operating procedures (SOPs).

Ability to lead operational change and drive adoption of technology-based processes.

Ability to make data-driven decisions with sound judgment aligned to organizational priorities.

Ability to resolve service delivery challenges, balance competing priorities, and support efficient maintenance operations.

Ability to work proactively as a solutions-oriented professional committed to continuous improvement and safe, reliable learning environments.

Minimum/ Preferred Education level Description

Minimum Bachelor's Degree Facilities Management
Business Administration, or a related field.
