Full Job Description

Smile Makers Dental Center is seeking an experienced, motivated, and results-driven Treatment Coordinator to join our growing team.

The Treatment Coordinator plays a critical role in helping patients move forward with the dental care their provider has diagnosed. This position goes beyond presenting treatment plans - it requires strong communication, financial coordination, consistent follow-up, and a commitment to helping patients overcome barriers to care.

A successful Treatment Coordinator is focused on case acceptance, schedule optimization, healthcare financing, membership plan enrollment, and patient retention while delivering an exceptional patient experience.

Applicants must have a minimum of 2–3 years of experience working in a dental office.

Key Responsibilities

Present diagnosed treatment plans clearly, confidently, and compassionately so patients understand their dental needs, recommended care, and next steps.
Help patients overcome financial barriers to treatment by discussing insurance benefits, payment options, healthcare financing, and available membership plans.
Work toward established case acceptance goals and actively identify opportunities to help patients move forward with diagnosed treatment.
Focus on filling and maintaining a productive schedule by scheduling accepted treatment and following up on unscheduled treatment.
Maintain consistent follow-up with patients who have outstanding treatment plans and help them identify solutions that make care accessible.
Educate eligible patients on available healthcare financing options and assist with the application process when appropriate.
Educate uninsured or eligible patients on the benefits of the Smile Makers Membership Plan and support enrollment.
Collaborate closely with doctors, dental assistants, hygienists, and scheduling coordinators to ensure treatment plans are accurately communicated and scheduled.
Review insurance benefits and estimated patient portions while clearly communicating that insurance benefits are estimates.
Ensure patients leave with a clear understanding of their treatment, financial responsibility, and next appointment whenever possible.
Maintain accurate treatment plan, financial, financing, and follow-up documentation within the practice management system.
Provide timely follow-up on outstanding treatment opportunities and maintain an organized pipeline of patients requiring additional communication.
Support a seamless, professional, 5-star patient experience from treatment presentation through completion of care.

The Treatment Coordinator is accountable for measurable performance and will be expected to consistently monitor and improve:

Unscheduled Treatment Follow-Up & Conversion
Treatment Scheduled / Schedule Utilization
Patient Reappointment and Retention

This is a goal-oriented position. The ideal candidate understands that strong performance means helping more patients access and complete the care that has already been diagnosed - not simply presenting a treatment plan.

Qualifications

Minimum 2–3 years of dental office experience required
Previous experience with dental treatment coordination, case presentation, or dental financial coordination strongly preferred
Strong understanding of dental terminology and comprehensive treatment plans
Working knowledge of dental insurance benefits and patient financial responsibility
Experience discussing third-party healthcare financing and payment options
Strong communication skills with the ability to confidently discuss both treatment and finances
Excellent follow-up, organization, and time-management skills
Comfortable working toward defined KPIs, goals, and performance expectations
Ability to build trust with patients while maintaining professionalism and urgency around necessary care
Experience with dental practice management software preferred
Positive, accountable, team-oriented mindset
