What you’ll do

Oversee daily administrative procedures, maintain office systems, and implement new protocols to improve workflow efficiency.
Schedule with vendors for cleaning, security, and maintenance. Manage the office layout, equipment procurement, and overall workplace safety and compliance.
Coordinate management schedules, travel arrangements, and internal meetings. Act as the primary point of contact for visitors and incoming communications.
Manage office budgets, process invoices, track expenses, and coordinate with accounting for payroll adjustments.
Coordinate with customers' billing expectations and milestones.
Maintain physical and digital filing systems, ensuring data security and confidentiality. Produce management-level reports and presentations as required.
Being flexible enough to handle changes in policy or unexpected facility issues and show leadership to the team broadly.
Ability to work independently and anticipate problems before they arise.

What you’ll need

To be 18 years of age or older
Authorization to work in the United States for this company
3+ years in office management, HR coordination, or contract administration
Exceptional attention to detail—you never miss a deadline or a line item.
Proven ability to act independently and make sound operational decisions without constant oversight.
Experience running payroll preferred.
