Overview
I'm seeking a dynamic and highly organized Law Firm Office Assistant to join my office and help keep our daily operations running smoothly. This vital role offers an exciting opportunity to support various administrative functions, enhance office efficiency, and provide exceptional client services. The ideal candidate will bring organization, attention to detail, and a proactive attitude to ensure the office environment remains productive and welcoming for staff, clients, and visitors alike. This paid position is perfect for someone eager to develop their office management skills and contribute to a positive workplace culture.

Duties

Greet visitors and clients with professionalism and warmth, managing multi-line phone systems with excellent phone etiquette.
Handle incoming calls, direct inquiries appropriately, and provide outstanding customer support.
Manage calendar appointments, schedule meetings, and coordinate conference room bookings using Team Up Calendar, Microsoft Word, Microsoft Excel, and Zoom.
Perform data entry tasks accurately using computer literacy skills, including maintaining records through filing systems and digital databases.
Assist with basic bookkeeping duties such as invoicing, expense tracking, and utilizing DropBox software.
Support office management activities by organizing supplies, maintaining inventory, and overseeing filing systems for efficiency.
Proofread documents, emails, and correspondence to ensure clarity and professionalism before distribution.

Skills

Strong organizational skills with the ability to prioritize tasks effectively in a tedious environment.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
Excellent communication skills with a friendly demeanor.
Experience with multi-line phone systems, calendar management, and appointment scheduling.
Demonstrated clerical experience including data entry, filing, proofreading, and document management.
Knowledge of office management best practices along with customer service expertise to support client interactions.
Familiarity with office equipment such as printers, scanners, and fax machines.
