Job Title: Administrative Coordinator
Location: Odessa, TX
Department: Operations
FLSA Status: Non-Exempt
Pay Rate: $22.00 per hour

Position Summary

Howard Supply Company is seeking a highly organized and detail-oriented Administrative Coordinator to join our Odessa, Texas branch. This position will initially train with an experienced administrative professional to learn company processes and operations before transitioning into a key support role for the Vice President of Stores.

The ideal candidate is an exceptional communicator with advanced Microsoft Office skills, particularly PowerPoint and Excel, who enjoys organizing information, preparing professional presentations, analyzing data, and coordinating projects. This position offers an excellent opportunity to grow within the organization while working directly with senior leadership on strategic initiatives.

Billing & Administrative Support

Learn and manage the company's billing processes under the guidance of an experienced team member.
Prepare, review, and process customer billing accurately and in a timely manner.
Research and resolve billing discrepancies by working with internal departments and customers.
Maintain accurate billing records and supporting documentation.
Ensure invoices and related documentation are completed in accordance with company procedures.
Assist with administrative functions that support daily branch operations.

Essential Duties and Responsibilities

Administrative Support

Provide administrative support to leadership and department personnel.
Prepare professional correspondence, reports, meeting materials, and business documents.
Manage calendars, schedule meetings, and coordinate travel arrangements as needed.
Maintain organized electronic and paper filing systems.
Handle confidential information with professionalism and discretion.

Executive Reporting & Presentations

Create polished PowerPoint presentations for executive meetings, customer presentations, and operational reviews.
Develop charts, graphs, and visual reports that clearly communicate business information.
Assist with preparing monthly, quarterly, and ad hoc operational reports.
Proofread presentations and reports to ensure accuracy and consistency.

Data Analysis & Reporting

Compile, organize, and analyze information using Microsoft Excel.
Generate reports from company systems and verify data accuracy.
Assist leadership with tracking key performance metrics and operational data.
Maintain spreadsheets and reporting tools used for business analysis.

Project Coordination

Assist with planning, organizing, and tracking special projects.
Coordinate information between departments to ensure projects stay on schedule.
Follow up on action items and deadlines.
Document processes and maintain project files.

Office & Team Support

Provide support for daily office operations.
Assist with meeting preparation and company events.
Order office supplies and maintain inventory.
Perform additional administrative duties and special projects as assigned.

Qualifications Required

High school diploma or equivalent.
Minimum of 2 years of administrative or office support experience.
Advanced proficiency in Microsoft PowerPoint.
Strong Microsoft Excel skills, including formulas, formatting, sorting, filtering, and creating charts.
Proficiency in Microsoft Word and Outlook.
Excellent organizational and time management skills.
Strong written and verbal communication abilities.
Ability to manage multiple priorities while maintaining a high level of accuracy.
Professional demeanor and ability to maintain confidentiality.
Self-motivated with excellent follow-through.

Preferred

Experience with Prophet 21 (P21) or another ERP system.
Experience supporting managers or executive leadership.
Experience preparing reports, presentations, and business analytics.
