Position Title: Accounting Supervisor
Reports to: CEO
Job Summary:

Looking for an Accounting Supervisor or Senior Accountant looking into transitioning into the role of Accounting Supervisor. They will be responsible for recording all financial transactions and maintaining accurate financial records. They must communicate and perform job duties with professionalism, integrity, and a customer-focused approach. They will be responsible for supervising other accounting personnel.

Key Responsibilities

Provide financial information about the business to company shareholders/owners, accountant(s), supervisors/managers, employees, banks, tax authorities, vendors, customers, and any other applicable parties
Supervise the Accounts Payable and Accounts Receivable staff
Correspond with customers and company employees
Assemble, review and verify invoices and check requests
Flag, research, and clarify any unusual or questionable invoice items or prices
Acknowledge receipts of vouchers; prepare and process payments of all formats, i.e., wire transfers, prepare and print checks, etc.; apply payment/debit memo to voucher; upload payment confirmation documents to ERP system and inform appropriate personnel
Enter credit card purchases/expenses and reconcile against credit card statements
Reconcile accounts payable transactions
Run monthly/quarterly/yearly reports and analyze accounts
Update vendor files as needed
Assist CEO with changes to Chart of Accounts and product classifications
Assist with month-end and year-end closing
Provide supporting documentation for audits
Maintain accurate historical records
Maintain confidentiality of organizational information
Run credit check on new customers; adjust credit hold status once credit check is done and application is processed. Process credit card pre-payment for a new customer’s first order before the order ships (only when the customer did not complete a new account application or their credit is not good enough to extend Net 30 terms)
Follow up on, collect and allocate payments of all formats
Reporting activities
Perform account reconciliations
Monitor customer account details for non-payments, delayed payments and other irregularities
Research and resolve payment discrepancies
Maintain accounts receivable customer files and records
Follow established procedures for processing receipts, cash, etc.
Prepare bank deposits & reconcile bank statements
Investigate and resolve customer queries
Review AR aging monthly, develop a recovery system and collect past due balances
Monitor customer AR balances and implement account credit hold when necessary with input from CEO, inform Customer Service and Sales accordingly. Daily order release in Cetec for past due accounts—increased credit limits so this isn’t a problem right now but may come up again in the future

Other Duties

Communicate with customers via phone, email, mail
Collect data and prepare monthly metrics
Prepare Quarterly California and out of state Sales Tax Returns and make Sales Tax Pre-Payments
Coordinate accounting information and issues between other departments, management, and the accounting team
Develop and maintain internal controls to safeguard company assets and ensure compliance
Identify opportunities for process improvements and implement best practices in accounting operations

Qualifications:

Bachelors degree in Accounting or Finance is preferred
Minimum of 5 years of experience as an accountant; 1-2 years of supervising experience is preferred
Attention to detail and accuracy
Able to multi-task, prioritize, work under pressure and meet deadlines
Ability to communicate complex data clearly
Excellent data entry skills
Great interpersonal and customer service skills
Familiarity with a wide range of financial transactions including Accounts Payable and Accounts Receivable
Knowledge and understanding of Accounting Principles
Experience with working with ERP system (such as Cetec) preferred

Lift/Carry 15 lbs
Screentime up to 8-10 hours a day
Stand/Sit/Walk 8-10 hours a day
Ability to use a keyboard for typing.
Vision requirements correctable to 20/20 vision

Pay: $90,000.00 - $110,000.00 per year
