Full Job Description

POSITION SUMMARY: The Estimating Administrator supports the preconstruction and estimating team by managing bid documentation, coordinating subcontractor and supplier communications, maintaining data systems, and ensuring the estimating process runs efficiently and accurately. The role is critical in organizing project information, supporting bid day activities, and maintaining strong relationships with trade partners.

KEY RESPONSIBILITIES:

Bid Administration

Manage incoming invitations to bid (ITBs)
Maintain and update bid logs and tracking systems
Distribute project plans, specifications, and addenda to subcontractors and suppliers
Coordinate and track subcontractor bid coverage
Assist in ensuring complete scope coverage prior to bid day.

Document Control

Organize and maintain project files, drawings, and specifications
Track addenda and ensure timely distribution to all bidders
Maintain historical bid data and subcontractor/vendor databases
Assist in preparing proposal documents and bid forms

Subcontractor and Vendor Communication

Support outreach to subcontractors to solicit bids
Maintain up-to-date trade partner contract lists
Coordinate pre-bid communications and RFIs
Assist with post-bid follow-up and scope verification

Estimating Team Support

Assist estimators with quantity takeoffs (as needed)
Compile bid tabs and leveling sheets
Support preparation of budgets and conceptual estimates
Help assemble final bid packages for submission

Bid Day Support

Track incoming bids
Assist with bid comparisons
Support last-minute documentation needs
Ensure compliance with submission requirements

Reporting & Systems

Maintain estimating software and databases
Generate reports on bid activity and coverage
Support continuous improvement of estimating processes

CURRENT SOFTWARE/PROGRAMS

Microsoft Office 365 Suite (Word, Excel, Outlook, Access)
Bluebeam (PDF Viewer/Annotation tool)
Procore (Project Management Software)
Administrative Pantera (Invitation to bid software)
Sage Estimating
NEC Phone System

SALARY RANGE: $40,000-$50,000 Salary based on experience and qualifications.

QUALIFICATIONS:

Associate or bachelor’s degree in Construction Management, Business Administration or related field preferred

EXPERIENCE:

2+ years in construction administration, estimating support, or project coordination preferred
Experience working with subcontractors and bid processes is a plus

SKILLS:

Strong organizational skills and time management abilities
Excellent written and verbal communication skills
Detail-oriented with strong follow-through
Proficiency in Microsoft Office (Excel, Word, Outlook)
Familiarity with estimatin
