Church Office Administrator

Location: East Brunswick, NJ (In-Office with Occasional Remote Option)

Schedule: Part-Time (18 Hours/Week) | 9:00 AM – 3:00 PM, 3 days per week. Occasional extra hours while preparing for holiday times.

Reports to: Pastor / Personnel Committee

Job Summary

This unique role blends essential administrative and communication support with critical bookkeeping functions. You will ensure our daily operations run smoothly—from welcoming visitors and producing weekly worship materials to managing the church’s financial records and facility needs.

Essential Functions

Church Administration & Communication

● Hospitality & Reception: Act as the primary point of contact for phone calls, mail, email, and in-person visitors with a warm, welcoming, and professional demeanor. Refer names and pastoral care needs to the Pastor as appropriate.

● Worship Support: Produce, proof, and print weekly worship materials (including digital/printed bulletins and visual presentations) utilizing information provided by the Pastor. Print congregational nametags as needed.

● Records & Database Management: Maintain the official Church Register (baptisms, funerals, weddings, memberships) and insert approved Session minutes into official records in coordination with the Clerk of Session.

● Attendance Tracking: Input weekly service attendance into Church Windows. Monitor attendance trends and proactively alert the Deacons when a member has been consistently absent to ensure community care.

● Communications & Media: Originate and distribute the weekly digital update (including the digital bulletin and last-minute news). Manage email distribution lists, reply to direct messages.

● Calendar & Coordination: Manage the master church calendar, coordinate shared calendars for building tenants, and oversee the digital event sign-up system via Sign-Up Genius.

Financial Stewardship & Bookkeeping

● Accounts Payable: Receive incoming bills, route them to committee chairs for awareness, prepare vouchers, and secure proper authorization signatures. Process approved payments within Church Windows and coordinate with the Treasurer for weekly check-signing, filing completed vouchers with check stubs, and mailing out payments.

● Pledge & Contribution Tracking: Create, update, and maintain member pledge sheets and accurately input contribution data into the system.

● Reporting & Compliance: Complete annual reports for Worker’s Compensation insurance (typically in March). Box and archive previous years' financial records safely.

● Annual Report Integration: Collect, compile, and format each committee’s annual report submissions into the master annual church report in coordination with the Treasurer and Personnel and Administration Committee.

Facilities & Vendor Coordination

● Vendor Management: Call, schedule, and provide building access for outside service contractors (HVAC, trade technicians, fire inspection, etc.). Act as the direct point of contact for the weekly cleaning crew.

● Safety Compliance: Ensure all mandatory annual facility inspections (Fire, Sprinkler, Alarm, Boiler) and semi-annual inspections (Kitchen Hood) are completed, documented, and filed in coordination with the Property Committee.

● Inventory & Ordering: Monitor inventory levels and order office supplies, custodial products, and official church certificates (PCUSA) using established vendor accounts.

Experience & Skills Required

● Administrative Background: 2+ years of experience in office management, administrative support, or as an executive assistant. Prior experience in a non-profit or church environment is highly preferred.

● Software Proficiency: Church Windows software or similar database software is required. Strong familiarity with MS Office (Word, Excel), Google Suite, Google Calendar, and web-based tools like Sign-Up Genius is required.

● Bookkeeping Proficiency: Solid foundational understanding of basic accounting principles (Accounts Payable, Accounts Receivable, General Ledger).

● Confidentiality & Discretion: Ability to handle sensitive member information and financial data with total confidentiality and professionalism.

● Interpersonal Skills: Exceptional communication skills and a team-player mentality. Ability to collaborate seamlessly with church staff, leadership committees, and a diverse group of church volunteers.

● Self-Management: A proactive self-starter who can multi-task, stay organized, and manage competing priorities in a quiet but active office environment.

Pay: From $25.00 per hour
