Full Job Description

Reports ToThe Administration & Development Assistant will report to the Director of Development.

Job Overview

The Administration & Development Assistant is responsible for maintenance of the donor and grants management databases in EveryAction, and Instrumentl CRM platforms, assists with marketing and organizing fundraising activities, assists bookkeeper with accounts receivable, attends Development events, and assists other departments as needed. The Assistant is organized, professional, detail-oriented and ensures accuracy and timeliness. The Assistant supports the Executive Director and Director of Development.

Responsibilities and Duties

Manage database of donor information, donor contributions and grants in EveryAction, grants calendar, and Instrumentl including reports, ensuring accuracy and timeliness.
Obtain accounts receivable from PayPal and GiveSmart platforms, direct funds transfers

from various sources,as well as physical deposits at bank input contribution information into EveryAction.

Generate acknowledgement letters for each contribution or grant payment from EveryAction and distribute via USPS or email, updating acknowledgement letter templates as needed.
Maintain paperwork backup for data management batch reports entered into EveryAction as well as Grants Activities folders.
Organize bulk mailings for appeals and acknowledgments including Annual Holiday and Feed-A-Kid appeals and fundraising events like Blast for CAST and Festival of Trees.
Support fundraising events preparation including: generate and maintain master worksheets, create and prepare guests lists, sponsor/VIP attendee lists and donated auction items and lists.
Attend Marketing & Development events representing CAST and supporting as needed, i.e.community and donor relations, check-in, floating, photography, etc.
Ability to work some nights and weekends.
Set up and maintain events on google administrative calendar and Google Calendar of events. Update contact lists.

Qualifications

● Office Management Skills

● Working knowledge of database programs, Microsoft Word, Excel, Google

● Must be organized, self-motivated and detail oriented

Schedule

Monday-Friday 9am-5pm in our Southold office, occasional nights and weekends.

Job Type: Full-time

Pay: $22.00 - $25.00 per hour
