Executive Assistant to the CEO

Cuba Memorial Hospital

Position Summary

The Executive Assistant provides administrative support to the Chief Executive Officer of the hospital, serving as a trusted partner in managing the CEO's schedule, communications, and priorities. This role requires exceptional discretion, organizational skill, and the ability to operate effectively in a fast-paced healthcare environment where confidentiality and accuracy are essential.

Key Responsibilities

Manage a complex and frequently changing calendar, including board meetings, medical staff meetings, community events, and external appointments.
Prepare agendas, briefing materials, and background documents in advance of meetings; ensure the CEO is fully prepared for each engagement.
Coordinate logistics for the Board of Directors and its committees, including meeting scheduling, materials distribution, and minute-taking or oversight of minutes.
Serve as a liaison between the CEO and department directors, medical staff leadership, and external partners such as regulators, vendors, and community stakeholders.
Draft, proofread, and manage correspondence, reports, and presentations on behalf of the CEO.
Handle sensitive and confidential information — including patient-related, personnel, and strategic business matters — with the utmost discretion.
Triage incoming calls, emails, and requests, determining what requires the CEO's direct attention versus delegation.
Coordinate travel arrangements and manage expense reporting.
Track action items and follow-ups from meetings to ensure timely completion.
Assist with special projects, community outreach initiatives, and regulatory/accreditation preparation as needed.

Qualifications

Associate's or Bachelor's degree preferred; equivalent professional experience will be considered.
A minimum of 3–5 years of experience as an executive assistant, ideally supporting a senior executive; healthcare or hospital experience strongly preferred.
Excellent written and verbal communication skills.
Strong proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook) and calendar management tools.
Demonstrated ability to handle confidential information with sound judgment and professionalism.
Highly organized, detail-oriented, and able to manage multiple priorities under tight deadlines.
Comfortable interacting with physicians, board members, government officials, and community leaders.
Familiarity with healthcare regulatory bodies (e.g., CMS, Joint Commission) is a plus.
